Can you file FPS's from 2 payroll systems?

Didn't find your answer?

A client is up to their licence number for employees on their payroll system.  They do not want to upgrade the licence as it is double the cost and they only need an additional person for 13 weeks and do not expect to exceed the limit thereafter.  Does anyone know if it is possible to submit FPS submissions from 2 payroll systems for the same PAYE reference?  So, they could then use Basic Tools or other free software for the short period they need it.  Thank you.

Yes you can do this. Large organisations have to do it all the time, as they might have different payroll systems for different groups of employees.

In some circumstances it would create difficulties with the figures that might appear automatically on EPS submissions, so the figures on EPS would have to be filled in manually.

Yes, to echo Tom's response. We do the same for a client - the only area of caution is to combine any EPS recoveries and submit on one system only.

That seems like such a lot of hassle. Wouldn't it make more sense to move to a payroll provider that offers unlimited employees, so this never happens again. BrightPay and Moneysoft offer unlimited employees numbers and both systems are not only excellent in terms of functionality but extremely good value for money too.
Most payroll systems worth their salt have an import facility from other payroll providers, so the transition from one system to another should be very straightforward.
It amazes me that companies still allow themselves to be held to ransom by software providers that put limits on their software when there are so many excellent alternatives on the market now.
Call their bluff and go elsewhere would be my advice. I did just that last year (moved to BrightPay) and I've never looked back.

isn't it possible that the OP's client is already with the employee limited version of one of the products that you mention, and would prefer not to pay to upgrade to the unlimited version?

Thank you both. I was going to reply to say that my client is already using Moneysoft and Tom is correct in his reply.

I have just had a look online at both and cannot see an unlimited version of Moneysoft but will mention the BrightPay unlimited to the client.

Thank you again.

From memory the "big" licence for Moneysoft tops out at 250 employees in a scheme. Anecdotally (users have told me) that it gets somewhat slow and clunky as it approaches that limit, though clearly faster PC might alleviate that somewhat.

Thank you, Tom. I stand corrected.

Thankfully BrightPay is unlimited and it is as good if not better than Moneysoft from what I read on here.
