Up until now, we have only ever used Sage for book-keeping.  One of the tasks I have been set is to make our credit control more efficient.  Previously statements were sent out randomly to clients and those statements were produced on Microsoft Word, each one typed out slowly after checking the sales ledger.

I wish to use the Letter function within sage to send out monthly reminders to clients.  This seems easy enough to do though I am going to contact sage for help with the layout and so on.

I just wondered how many of you out there use Sage for things like this.  I wouldn't mind incorporating the year end letter we send to clients reminding them of their impending year end into sage also.

I thought about PTP practice management for things like this but seems a bit pricey and would be a lot of time getting our few hundred clients onto the database - with Sage all the clients details that we need are already there.

I have used the statement feature on Client manager with one of my clients which worked quite well after I had set up the template on the statments to just show outstanding and altered the email feature within the statement itself so I could then select the clients I wanted to send a statement to and sage would send it direct to them with and email message and update this on the communications tab in the customers to show this has been done.  I have also used the diary function on sage with credit control to show when payments were promised or when to follow up on a late payment etc all this is done through the customer communications section.  I have found this to be a very useful and time saving tool and I have also adapted my customer invoices to run in the same way as statments so I can send them direct from Sage with a standard email message to accompany the invoice/credit note.

With regard to year end letter I would have thought you could do this through Sage using the letter template and formating it to your needs and using the diary funtion and possibly the credit review date (being their year end date) to flag this up under a credit reviews due report that can be run say monthly to pick up those you want to send year end reminder letters to.

More useful ideas for using sage client manager for management

Hi 

I use it the same as Jenny, there is no problem setting  up letters , in fact tho is what sage is very good at.

 I also use the communication tab heavily  . It is great for credit control , but it is also great for memos and recording the time and date you rang a client for any reason , whether it is a query to do with their accounts .  It keeps a great history and has a really good communications Reports .

As Jenny says this links into your diary .

  I also use the diary to remind me and alert of any client vat returns that need to be done .  any requests the client made .  Anything that needs reminding for that client.  

I also love using Microsoft OneNote for all my clients , it allows me to keep everything about each client , emails, texts, phone calls and instructions about the parcels queries extra. All their documents in one location and I then attached it to the communications tab or memo tab.  

You can also attached all the documentation for that client to the customer memo tab for example their letter of engagement , copies of their CT600 , Companies House accounts the list is endless . Any type

Project costing is also a  great way to keep control on the cost to you for clients , which also allows you to use external charges which don,t effect your accounts
