I'd be very interested to hear what packages other practitioners use for keeping clients VAT records where they offer a bookkeeping service.

I have taken on several new clients recently and was quite surprised to see some very large well known practices using Excel sheets for clients VAT/bookkeeping.

Systems to fit the client
I'm a believer of using what fits the client. So, for example, for the smallest of clients, using Excel to record information and prepare a VAT return would be most efficient. This system worked fine for takeaways, small farms, consultants etc. Basically, any business where the number of transactions are relatively low.

As the clients' affairs become more complicated (for example, they'd like aged reports) I would suggest a bookkeeping package.

I've used Sage, TAS, Quickbooks and a few others before. I think in this instance, it would come down to personal preferrence vs cost but I guess I quite liked Sage the most because we all found it fairly easy to work with.

I think the last thing I'd mention is that whichever system you use, don't use any ability to 'delete' transactions! They show up in the audit trail and I've come across a tax inspector or two who rather unfairly put deleted sales invoices into their assessments, for us to prove they went back in the system!

Bookkeeping packages
We run a very small practice, and use the following bookkeeping packages:

VT Transaction (which is Excel based)
Quickbooks
Do$h
Sage

We, ourselves, prefer VT Transaction, which we then import into our final accounts package.

Winweb Accounts Office
Our software package is a full accounts package, however it could be used to perform a purely bookeeping role.

Its online and free. It has full VAT accounting, including cash accounting and produces reports for quarterly returns etc.
