Charity accounting software

I have a charity that has amalgamated 3 other charities into it. There are now 4 locations, each running their own projects and shops. They have been using Quicken up until now but it is limited for this type of reporting.

Does anyone have any suggestions for a system that could cope with the number of locations / projects and the fact that it is a charity?

We will be able to help with your requirements. Our company develop a finance system called bluQube (http://www.bluqube.co.uk) that is ideal for organisations based in different locations. It is accessed securely via web browser so does not require installation on each PC. You can also run the software from your own servers like a traditional finance system or we can host the host the service for you (Software as a Service) and you just pay a rental fee.

The reporting is extremely flexible and will handle charity accounts with no issue. bluQube includes a number of features including project management which encompasses timesheets and expenses entry if that is required.

Charity Finance Directors Group
Whilst I have many years of experience with financial software, the charity sector is not an area where I have vast amounts of experience. I recall that the Charity Finance Directors Group (CFDG) has an IT section. I am sure that they will have resources to assist in choosing a suitable system. In fact one of the topics at their recent IT conference was specifically on this topic. The chairman of the IT "Group" is John Tate who has considerable experience in this field.

David, e-conomic provides an integrated inventory management, project accounting and general ledger system. If you need to integrate any retail systems with the accounts, we have an open API that enables source systems to post entries directly to the ledger ready to be booked. They can also raise formatted invoices to customers, if appropriate.

Our inventory mgt system allows for multiple stock locations, so the shops could all login to one set of accounts. (They can all be logged in at the same time without issues - it's a realtime multi-user system.) Alternatively, each shop could have it's own login, but you would still have a central access to all so that you can ensure that consistent policies are being followed. You can set up a bespoke COA to suit the needs of the charity, or modify one of the default COAs that we provide.

If all the shops are logging in to the same accounts, you could treat them each as a department so that you can analyse income and expenses by shop (requires our Dimension add-on module - but it only costs £4.50.month).

As it's an entirely online system, you (and the charity HQ, if required) would be able to access each shop's current financial figures at any time. You would also be able to apply controls that enable you to ensure that bookkeeping entries can be reviewed prior to posting, for which purpose you simply log on to their accounts from wherever you have access to the internet. These sorts of controls enable you to ensure that erroneous entries do not find there way onto the books.

We aim to give good value with our standard pricing, but if that still creates a cost issue, then as this is a charity we'll be happy to help. N.b. The only cost is the client's subscription, accountant access is free.
