Can anyone recommend email filing software, whereby when emails are sent by us we are prompted to file them and can specify a destination?

Similary, when emails are received we would like to be prompted to file that email in a specified location.

Any suggestions would be very helpful.

File them where?

Do you have an Exchange Server, or other mail server?

Did you want to just dump these emails onto a network disk?  or do you want them filed into some kind of database or document management system?

Does this need to be multi-user? (Filing the emails for a group of people, or just you?)

Do the filed emails need to be protected from subsequent deletion or alteration (so you can trust the contents of the files in the event of a court case or dispute)?

There are a number of possible tools - it depends on what exactly you are trying to achieve, and what kind of systems you already use.

 Hi, 

Without a gratuitous plug for our own products I would consider looking at a proper email management solution that delivers first class email filing features but also provides a rounded solution in all other important areas.

Filecenter (sic) by Lucion

 This integrates with Outlook so your messages (complete with attachments) can be filed with all your other client files. It is just a fancy add-on to explorer so if you get bored with it you don't have to anything other than turn it off and use the normal explorer view. I like it.

email filing tool

We had the same requirement, i.e. wanted to file emails to our “projects” or “client” as they came in. So any one who took a call from the client could see all the emails in a click. We ended up looking at 3 solutions and the email filing tool mention above on this post. We ended up going for the KnowledgeMill Email filing tool as it did automatic email filing based on the email's content and it learns from filing patterns that our users do, it’s a bit had to explain but works very well for us.

The days of PSTs and saving to disk are long behind us.
