Emailing a word document

If I create a letter in Microsoft Word and email it to someone the header and footer I had in my original document (my letterhead) disappears.

Does anyone know how I can stop this happening as it seems a really easy way to email letters to clients but is no good without the header and footer.

I am using MS Office 2003.

As I posted earlier goto www.fineprint.com and download a copy of fineprint.

We do exactly as you want to using this software.

You could also look at pdfmailer I downloaded it from http://www.bcainc.com/products/downloads.htm

letter heading
what is the best method of getting your letterheading into a word or pdf document so that when the recipient views it/prints it out the letterheading is there alrady albeit in black& white?

Another alternative
A cheap option we use is fineprint www.fineprint.com before printing as a pdf.

This software allows you to see what is about to be produced either to your printer or to pdf printer.

If you are thinking of keeping electronic copies then this works well with Zerox Paperport

Docuprinter
I use software called Docuprinter to convert to PDF. There are free ones around but this one cost me about $20 and is marvellous. Once you have set Docuprinter as your default printer you can just click print and it creates a PDF file.

I had a problem with my letterhead in WORD because I had set the page size to foolscap format to allow the footer to print close to the edge. This made my printer complain that I was using the wrong paper tray, and I had to keep switching it off to clear the error. Now I have converted to PDF and there is no problem.

It's great for converting accounts from Excel or database files to PDF for attaching when you file CT returns online. I use VT accounts and with some of the free software you can't print selected pages with the VT printer button but it works with Docuprinter, so the pages come out numbered. Then you can just email the accounts to your client for signing, and attach them for online filing. Saves postage, paper, time and hassle. My favourite software of all time

Try CutePDF
The PDF approach works well and it saves falling foul of incompatibilities between different copies of MS Word - thanks, Microsoft! ;-)

A quick and free way of sending out documents as PDFs is CutePDF. I've used it for a long time and it's never caused me a problem. Get it from here: http://www.cutepdf.com/Products/CutePDF/writer.asp

If the person you are sending the PDF to can't read it, they need to install the free PDF reader, get that here:

Common problem

This is a problem that I have seen many times.

The PDF method in itself is ok but it depends what type of letter you are sending.

Another solution, is to write your letter in Publisher (if you have it) instead of Word. Then send this using the "send publication by email" option under the "file" menu.
The letter is then embedded into the email as an image which, in my experience, never fails to get through to the recipient.

A second alternative is to use a product called Spindle Professional.
This acheives much the same result as the standard PDF method but could also save you thousands of pounds in the process.
Spindle is essentially an intelligent Windows printer and works with any software that prints using the Windows printing system.

Depending on the setup, Spindle analyses what you are sending and, looks for certain setup criteria. It then automatically sends documents via e-mail or fax or prints for posting, adding colour or monchrome letterhead stationery depending on the delivery method.

Sending letters
Hi Nicola

You could create a PDF document by printing to a PDF printer then send a PDF document instead.

Other advantages are:-

Some people's email systems reject word documents.
PDF documents are harder to alter/doctor by the recipient.
