We have some colleagues who will be attending and speaking at a conference in Europe next month and I wondered how we stand regarding Vat?
The trip will include a hotel stay, and we will also be paying for other speakers coming from Britain to stay.

I understand there are different rates in different countries, but if we do collect full Vat invoices from the hotels, how we do reclaim this Vat?

Hi Rob

Firstly, unless you have fluent speakers of the laguages of the countries in which you wish to claim you will be better using one of the many agencies who will do it all for you. As I have posted before I have used 'Quipsound' for many years. They will advise on the process and take a commission on what they recover.

HOWEVER in my experience unless you will be spending a LOT of money in Germany it is hardly worth it. Many countries do not, for example, allow hotel expense VAT to be recovered: The rules are so restrictive that Germany is the only country worth a go, but only if you are spending thousands on, for instance, an exhibition.

Have a look at the VAT Notice...
... 723. It contains all the information you need, including where to send the claims.
