Invu v Docuware

We are currently evaluating Invu and Docuware. Both look pretty good but I would appreciate comments from any users.

Particular practical comments as to
1 quality and ease of use
2 did it do what you wanted?
3 How was integration with IRIS or other accounting packages?

Invu
Having used Invu for the past 6 months I can recommend the system to you. One employee scanned 11 years archied records in around 5 weeks and we are now working through the active files. Accessing records is very easy and far less time consuming than finding documents in apaper files; also clients are very impressed when they see you call up documents on screen, a nice little bonus if the system

We raised one concern regarding emailing from Invu in a recent posting and they company contacted us the following day with a solution. The paperless office is now in sight and Invu has solved one of life's great mysteries, my desk is made of wood!

Good luck I recommend Invu but have never used the other product. Whichever way you go paperless is the only way forward.

MYOB Singleview
We have just had MYOB Singleview installed. It seems to work very well, and has a link into the IRIS SQL database to bring in the information and contact details from IRIS.

You will probably need to do some tidying of the IRIS database to get rid of old clients, but it is probably best to do this anyway.

We are in the early stages but it seems very easy to use and even though the initial uploading of working papers takes more time, there are significant time savings year on year. There is an added advantage that we can scan all of our course notes and technical publications into the system. This means that we can then search all our technical information for phrases far more easily. No more shelves full of course notes.

Findings from AccountingWEB Buyer's Guide
Hi Jon,

In late 2005, we put together a Paperless Office Buyer's Guide (quite a hefty PDF, with entries for Invu, DocuWare and several other of the systems already mentioned).

It includes basic data about the system, plus comments from users and a start rating for SMEs, small practices and large practices.

From a quick review, Invu and DocuWare both averaged 4/5 among small practitioners. The only difference among the small practices was that DocuWare was given a higher rating for usability, while Invu was rated more highly for value for money.

There is further material on the paperless office, which you can scan quickly in the IT Zone Library. I hope the information and other members' comments help round out your research. Let us know which way you decide to go and what happens.

Invu seems to work well
We've used INVU for approx 12 months now and it integrates well with Outlook, Word etc.
A couple of problems we experienced which may (or may not be relevant).
1) For some people who have spent many years immersed in paperwork it can take some time to convince them that computer archiving is instead of filing a hard copy and not as well as. Also getting over to them that once they find an archived document on INVU they don't have to print it out to read it they can read it on screen.
2) I see that another comment indicated that INVU-ing archive material can be done very quickly. This was not really our experience, scanning A4 documents can be done relatively quickly but anything out of the ordinary (A3 docs, stapled bundles, light or darkly printed documents) need a bit of work before they can be effectively scanned for future use. It's not a massive problem and it depends on the nature of your current hard copy documents but we had a temp in to do our archive scanning and they were only archiving approx 200 documents a day.

Finally, basic disaster management but, make sure that you have a robust back up storage device with a copy kept off site if you intend to dispose of your hard copies.

All documents input into INVU are OCR read which means that you can search for say Smith and it will return all documents in the Drawer or Folder that have the word Smith in.

All in all though I would say that INVU has been a great time and space saver for us.
