Paperless office

Paperless office

We are a small firm comprising one principal and five fee earners. I love the idea of a peperless office, scanning documents, saving, retreiving etc.
Can I have any advice, experences etc regarding going paperless, best software and hardware to choose, costs and benefits please?

Look at DRIVE from Keytime
Hello Jeffrey,

Our sister company Keytime has a product called DRIVE which combines CRM, practice management, time & billing, electronic document management and much more.

DRIVE will also allow you to plan and run marketing campaigns, undertake business planning, manage deadlines and manage practice expenses (to list a few of the features).

Built on the .net platform and developed C#, the product is bang up to date and has been succesfully installed in practices in the UK and Ireland.

Those firms that have installed it have been able to replace a plethora of disparate and un-connected systems, resulting in significant improvements in practice efficiency and customer proactivity.

Singleview
We are an 11 partner, 100 fee earner practice and have had Singleview (the knowledge management product from Solution 6) running successfully for two years now.

It has modules to cover scanning of incoming documents (i.e. post - using HP Digital Senders) and archived files, filing these alongside documents you create (for example, letters in Word) and emails which you can save onto the system. Document creation is made easier by the use of standard template documents, with data taken straight from your contact database. Document searching is done in a similar way to an Internet search engine, finding files based on a piece of search text.

It can link to your existing practice management software or if you don't have one Singleview can provide a client database if required.

Although it is aimed mainly at larger practices (from 25 users upwards) Singleview may be worth considering for a smaller size practice such as yourselves.

Whatever system you choose, going to a Less Paper office is definitely the way to go. Key benefits include quicker access to information, less space required for physical paper storage, works as part of your disaster recovery planning (in case of loss of premises, etc).
