A client who is a IT contractor has contacted me to ask about claiming for food by applying for a P11d dispensation and using the approved benchmark rate whilst away from his "office" He is sole director and employee of a limited company. His office is his home address and he is currently working on site for his client, he travels everyday to the same place and sits in the same desk. He hasn't been there for two years but will reach this shortly.

The site has a subsidised canteen for employees which he uses to purchase hot drinks. He is dairy intolerant so he is very limited in what he eats and can't buy food from the canteen. He has spoken to other contractors and has found out they claim £10 a day for 2 meals and more if they are in early and leave late. He would like to do the same. How would you feel about this?

I can see that the rules permit it providing that good records are kept and receipts are available and I checked and signed off the expenses but it doesn't feel right. How would I know how many hours the contractor is working when I only do his year end accounts and payroll. I would have to check every drinks receipt for date and timestamps and what happens when the canteen is shut - the vending machines don't provide a receipt. How do others manage situations like this with one man limited companies?
