Best way to convert Sage data to VT Transaction+

Didn't find your answer?

What is the best way to convert Sage data to VT Transaction +? I would prefer to have transaction-level detail if possible.

Standard method for changeover

The most efficient method is to take a TB from Sage at the end of a calendar month, when you are fairly confident the majority of data has been entered. Then work out the equivalent account names on VT.

Then run an Aged Drs detailed and Aged Crs detailed reports on Sage at the same date, making sure you ticked the box called "Exc later payments" at the bottom of the data entry screen to set up the reports, which should both agree with the corresponding control account on the TB. Be careful as they may not agree if any item has been paid off using a later date by mistake.

You should make sure each outstanding invoice/credit note/ payment on account is entered separately to VT but use a suspense nominal account instead of the original one used, and entering the VAT at the same time, of course. It may be possible to use the batch data entry on VT for this. I haven't used this myself, so don't know the pitfalls.

Do lots of checks at this point and make sure the many VAT accounts on VT look OK, bearing in mind cash accounting.

Then enter the rest of the TB by manual journal, putting the difference to the suspense account I referred to above.

Any data entry after this for items dated before your transfer date should be dated 1st of the month following transfer date so you can always exactly match your opening TB against the Sage TB.
