I'm currently looking for a better way to manage bookkeeping queries backwards and forwards with clients. We have multiple team members managing multiple clients simultaneously and I think we're losing quite a lot of efficiency by having to re-trace steps, send reminders for queries that haven't been answered yet and generally keep things in an organised fashion!
Sending emails to clients with a list of queries is horrendous - you get replies to some of the queries but not all, then another email conversation starts and you spend more time keeping track of queries than actually doing the work.
We've also tried spreadsheets as a more central way of trying to manage things. We then get multiple versions of them, even when we try keeping a centralised one on Dropbox for example, or slower responses as clients find it more of a chore than replying to a quick email.
Has anybody out there found a good way to manage this? Surely there must be some cloud software somewhere...??

QBOA
QuickBooks Online (QBO) is launching their new accountants' dashboard for QBO, called QBOA. They have two webinars on Monday 8th June at which they will demo the new facilities. QBOA first launched in the US last October and I've seen what they have over there, which is excellent.The UK version is slightly different, but what I've seen at Intuit's conferences looks great.
You can add in all of your staff members and allocate them to whichever clients you want. They have a collaboration tool, so that you can request answers from clients to a bunch of questions and tick each item off as it is dealt with. That way, you don't need to hunt around for numerous emails and re-forward one because one small element of a lengthy email remains unanswered. That should solve the problem in your second paragraph, as you just need to remind the client to log back into QBO and answer the un-ticked items.
QBOA also uses box.com to create a Dropbox-like system in which you or your clients can upload documents to share, all of which are accessible via QBO.

I must say Quickbooks was not a product I had looked at or even considered for some time but saw the new release they premiered at Accountex and was very impressed at the Accountants dashboard for it, and think the client end of it is also reasonably priced.
