Hi all,

I'm treasurer of a youth group (registered charity), and sometimes the volunteers (all unpaid) drive some distances in the course of what they do etc...

We'd like to pay them mileage for this.  I'm just looking for some feedback on what others might pay...

Previous charities I've worked with paid 20p per mile (in fact, some of my clients only pay 20p per mile) but is this a bit "stingy"?

Do people generally pay the full 45p per mile or a lesser, nominal amount?

it depends

45p is the rate at which no tax penalties apply.

Many charities however pay less than this - 40p or less seems about the going rate and many volunteers fail to clam anything

It depends on how much you value your volunteers. My view is that 45p/mile is the minimum cost of running a car and should be offered without quibble and if your charity is getting the services of volunteers for nowt, why pay less?

After all the volunteers can chose not to claim anything

For me, it would depend on the charity's resources.

I would not claim for a small local charity, but would for a large national one.

There is not a lot of money and it's a tiny, local charity.

Local travel is not reimbursed at all (For example, I wouldn't dream of claiming for the trips to the bank, the postage stamps etc...)

That said, occasionally, volunteers drive may be 50 or 60 miles for something and that is a bit above the norm.  Some times we have paid their petrol receipt (which probably works out a lot less than 45p) but some times the person has not got a receipt, or they lost the receipt.

Really would like a bit of consistency between those who have a receipt and those who haven't, but also don't want to be stingy either...

why not

offer everyone a standard rate (say 20-30p) a mile.

I have a view that volunteers who incur a cost other than their time - in this case the car running costs should be reimbursed by right. 

As I said they don't have to clam it.

That's exactly what I am trying to establish (a standard mileage rate for volunteers, that is).  I was actually thinking of 25p, (since that is a roundish figure just above the above the highest fuel rate), but I didn't want to "lead" the discussion.

(Also, there is nothing to say that volunteers couldn't claim for their local mileage, but no one actually bothers in practice)

I was just trying to gauge what rate other charities used - given that the last time I looked in any detail at charity mileage it was a few years ago, (and then it was 20p).

Your suggested rate of 20-30p so far fits with my general thinking.
