I may have missed something, but just in case I am not alone, I want to warn you all of my RTI revelation.

My client was due a refund of Employers NI and I called the employer helpline to enquire how to receive it back. I was told that the client had numerous fines on his account (that we were not informed of) that had swallowed up his refund, due to failure to file the FPS's.

I looked to by basic tools and saw success...success...sucess all the way down for his FPS submissions (a year in advance) so I sent my database off to be looked at by HMRC.

They then told me, because I submitted the FPS's on one submission for the entire year, that their system does not recognise these and is unable to apply them to the relevant months. 

I had to roll back my system and input all my clients data again, ensuring that I submit month by month with no more than 1 FPS in each submission. Its a nightmare. 

I have also to follow up the fines issue as my client is the only employee of his Ltd company and filing fees commence March 2015 for <50 employees so I have no idea what is going on there.

They told me it is all written in the literature and I should have know this, and probably many of you do, or you use third party software which is significantly better than basic tools. Watch out those of you using Basic tools!

Why file 12 FPSs at one go using BPT?

As I don't use HMRC's Basic PAYE Tools, I did not know that you could even submit 12 FPSs in one submission, but may I suggest that you learn the lessons:

Use proper payroll software instead of BPT.If you are sure that you know the client's pay for a year ahead, ask HMRC to set up an Annual Scheme with payment specified in April, so you have to file only the one FPS in April.Failing that, file each month's FPS in the relevant month.

Thanks for that. I did not realise that was an option and I will certainly be looking in to it.

Specified charges

I expect they are specified charges which are not penalties for late submission, they are estimates of the tax due since no submission was made.  Once the submission is made then they are removed from the account.

I am not sure what happened to your Basic Tools but it is not great and HMRC helpdesk seem to always recommend setting up the client again to resolve any prior submission issues.  I don't use it anymore.

Ditch BPT
Hi

U agree with the previous posters. BPT is pretty useless. Why not try a free online package like Payroo? I started using it this year for my smaller clients and have grown to live it. It's free for up to 9 employees and unlimited clients (including CIS and P11D)
