A question for those using iris openspace or any other document exchange system.
As far as i understand you can only upload documents individually, SATR, schedules, comps, etc.
Each time, the client just gets an email notification that you have uploaded a document with them.
You still need to do some sort of covering document to accompany them like you would if you were sending by post or email, eg asking them to read and sign, telling them tax due, payment and filing dates etc...
Question is, what is the preferred method among those who have been using document exchange portals for a while?
1 - generate covering letter through automail (iris users) and upload this to the portal as a further document?
2 - email client first with covering information first, and tell them you will be uploading docs shortly and to expect an email notification(s)?
3 - use a specifically tailored template in openspace that recognises when you are sending a tax return and pulls through the tax liability details (as you can currently do with automail)?
3 would be the preferred option, but as far as I can tell there is no editable template in openspace, only about 25 standard templates.
I spoke to iris about this and was told it was down to our own IT support to develop a template/code and liaise with iris IT dept.
Just wondered what system other users were using for notifying clients that they have a Tax Return to approve.

I use a manual letter template and manually add the tax due figures. Then I upload to openspace as a pdf and notify the client everything is on the portal ready for them to review and approve (I get them to approve the covering letter too). I looked at automail but from memory I thought the functionality of it was quite poor so I never subscribed to use it. It only takes 5 minutes or so per client to do the letter so I've not bothered looking at automation (although I am all for it, so interested to hear what others have come up with).
One PDF
I create one PDF containing cover letter or notes, return & schedules (same with accounts to include resolutions, letter of rep etc). All non accounts & tax docs are generated in Iris automail. Client authorises the one PDF electronically.
