I use moneysoft to report RTI.

A particular small client has staff on weekly as well as monthly payroll.

Can i report the weekly staff together with monthly staff - in effect putting them on monthly payroll rather than weekly? eg last day of the month.

This will save time in having to report them every week when they get paid.

How many staff?

If he has 9 or fewer employees in total and had a PAYE scheme before April 2014, you can take advantage of the RTI easement, but only up to April 2016, to report the pay for the weekly paid staff once a month on or before the last payday in the month.

However, the general answer is that if the client insists on paying staff weekly (and monthly), he must be prepared to pay your fees for running payrolls 52 (+ 12) times a year.  Explain this to him and he might see the sense of converting his weekly paid staff to monthly.  He could ease the transition by giving them a loan of 3 weeks of net pay at the outset, to be repaid over (say) 3 months.

But
to finish Euan's answer, if you don't change you'll have to report the weeklies weekly and the monthlies monthly when you can't take advantage of the easement. IMHO it's not that big a problem.

He only has 4 employees. I am not sure about the loan arrangements and how to report them?

In Moneysoft, click on the Pay Details > Subs tab.  Enter the loan advanced and the monthly repayments.  Right click on the heading 'Balance owed to employer' to change the descriptions 'Subs' to whatever you prefer.

I Use Moneysoft and it can be done

I have clients with Weekly and Monthly paid staff, and use Moneysoft.  As long as you make the monthly paid staff's payday the same date as the weekly paid staff at month end (for Example if the staff are paid on a Friday, you make the monthly staff pay date the last Friday of the month), when you raise the RTI it picks up both the weekly and the monthly at the same time and reports on them.  But being paid weekly, you would have to still report for the other weeks, for the weekly staff.  Otherwise you will be missing the 'on or before' rule, required under the regime.

I don't understand

why there is a problem in saving time in reporting the weekly paid.  If you are preparing a weekly payroll that is where the time is spent.  The reporting takes about 30 seconds via Moneysoft or am I missing something?

Its possible

It's possible that some payrolls have static weekly pay, and the payroll operators don’t have to touch the hours from one week to the next. 

 

Processing weekly reports would mean they have to go in weekly just to upload the FPS report, which is probably a  bind for them. Trying to remember who needs to be processed. 

 

To overcome this, I have prepared a spread sheet with small squares going across 52 weeks with a block of weekly companies I process and a block of monthly ones  Each Friday, I open it up and tick off each company that is set for Weekly and each company set for Monthly (when due), so that I don't miss anyone out.  It gives me peace of mind that I haven't forgotten anyone.
