Posting invoices with balance brought forward

Posting invoices with balance brought forward

Didn't find your answer?

Could you please help me. I need to post an invoice which has got a balance brought forward from the previous invoice which has not been paid yet. The previous invoice has been recorded in the system already. How to post the invoice including the balance brought forward?. Shall I delete/credit the previous invoice and then post the new invoices total amount? It is confusing.

I would appreciate your help.

Thank you.

What you seem to have is a statement not an invoice - or perhaps a cross between the two. What you post is the new charge, ignoring the unpaid balance of the previous invoice - and in the meantime try and get your company's practice of mixing up statements and invoices changed for the better.

It definitely is an invoice not a statement. To be more specific it is a supplier invoice from mobile phone services and internet provider.

Invoice

With all due respect, it isn't an invoice.  It may say invoice across the top but goods can only be invoiced once.

They may, of course, appear on many statements if the customer doesn't pay promptly.

The answer is that you should only enter the charge for the new services.  The balance brought forward is already in your accounting system.

I was assuming you were referring to sales invoices, but apart from what I said about changing your company's practices, what I said stands.

dont know if this is what you mean....

Not to sure if I have understood what you mean - from what I understand you received an invoice from "x" which you inputted into whatever accounting system that you are using [you debited the nominal, in this case telephone or something similar, and then credited your creditor control account].

For whatever reason only part of this invoice was paid [so you credited your bank account and debited the creditors control account, for what was paid] this would of left a balance of the unpaid invoice in the creditors control account.

You have now received a further invoice which includes the unpaid amount from the last invoice.  This invoice should set out what amount is that you owe, not including the outstanding balance from the last statement.  This is the figure which you should put in as the new invoice amount, as the unpaid amount is already accounted for in your creditors control account and in your cost nominal from the first transaction.

Overall this should leave you with a balance in your creditors control account of the previous unpaid amount and the new invoice amount - which should total the balance of the statement part of the invoice from the phone company that you have received.

I would shy away from changing previous transactions, as that tends to confuse things - especially if you have already reconciled your bank to include the part payment that you already made.

Hope this makes sense, and is what you meant...

John was right (except about the sales/purchases!)

You just enter the new charges - viciuno explained what to do as well.

There's no sense adjusting the previous posting. You'll get confused as well as it being wrong,

Technically

It is an invoice plus a statement showing the balance brought forward.
