Stand alone practice management software

We use Relate software for practice management, but don't find it particularly easy to manage staff with

We do use it for standard practice functions eg billing, saving correspondence, accounts and tax deadlines but not really workflow

Can anyone suggest a good value, user friendly package that can enable both partners and staff tomanage their monthly, quarterly and annual deadlines easily?

Howard - thank you for your comment on the linked thread. I'm not sure when we would have been in touch but following a lot of feedback such as yours we have simplified the UI to reflect the more typical firm, would be happy to show you the new one.

We use MB practice Manager and it very good ! Provides an all singling and dancing solution to our needs of running a 2 partner, 3 staff team. Customer Support is really good as well !

I found that Glide was almost identical to Practice Flow. Both of which were lacking.

Hi,

Firstly thanks for trying Glide.

It's hard to know what you were looking for that you didn't find and this is not an appropriate place for me to enquire.

What I would say, and I'm sure I speak for all the vendors referred to above, is that if you are considering using a Practice Management system you may need to spend a bit of time with the supplier. 

The concept of taking a 30 day trial works well for the cloud accounting products, all accountants instantly recognise the features and be able to make a decision.

With practice management there is a wide range of possible features that fall within this category, and then you will have the option of customising many aspects.

So whilst you'll see lots of 30 day trial offers, I would suggest calling up the provider and requesting a screen share to run over your queries, it may be that the functionality exists and at least you'll confirm the existence and quality of the support provided.

If a provider wants to succeed in satisfying practitioners such as yourself they should have plenty of time to be talking to you and your comments are likely to contribute to future development decisions.

Stand alone practice management

I love to see innovation in our profession like  so many accountants with IT ability we try to share our experiences and help our fellow small practices save time and money.

 

I developed CentreCRM along those lines of being fed up of large companies sucking us in and then charging high prices for systems that were integral to our day to day operation.

wish I had known about you 2 years ago I would not have developed my own !

I have only found you now . where were you !

Pracman by definition is very simple by design and is one step up from those who struggle with XL sheets 

I use Morgan Berkley but only for time costs and found the practice management aspect too much and cumbersome so I will look at your time costs features and may even subscribe !

Star Due Dates/Workflow module

Star Practice Management has a Due Dates/Workflow module but requires the core Time and Fees element to be used as this is where the job data is stored.  Star is generally used by medium and larger firms so depending on size of the firm this may not fit their budget. www.starplc.com

Toodledo $30 per year per user

I dropped our pm software in favour of this one. The old one could do everything, but everyone hated using it.

This is the simplest one we ever had, but works a treat. We have a central dashboard for our compliance deadlines and every user has an individual dashboard for their ad-hoc projects, notes, etc. which are also shared.

Each compliance deadline is set up as a recurring job, against a client (which is a folder) and a job type (which is a context). We broke them down into steps, which are also assigned individual start dates and deadlines. This is a big plus for me and unlike many other software I tried. With this feature the visibility of where jobs are "stuck" is instant as well as our ability to know which jobs can be started when.

Each subtask / task are assigned their own staff for responsibility (via tags), and you can add estimated time, reminders, actual time taken and mark them chargeable / non-chargeable if you wish. You can also put notes alongside the tasks (e.g chased client for the third time for books, promised for next week, etc.)

You can create tasks directly from your email box as well, which I also find very useful.

Search function is good and you can save searches you use regularly, for example by staff, by job type, deadlines in next thirty days, etc.

I would not use this as a doc management system, but for deadlines and workflow it's fantastic.

For clarity, I have no involvement with the company, just a satisfied user.

Fines!

I used to keep an excel sheet to keep track of when client data came in, who I had allocated it to and where we were at.  This was fine in the first few years, but as we expanded it became clumsy.

I came across "Glide" a couple of years ago at Accountex.  It takes a lot of the guessing out and it has saved us a lot in companies house fines.  Its always a race to the line toward the end of the month and you need a system that you can clearly see whats going on.

You can drill down to accounts that need filing by a given date.  Priceless!

So, if you have a multi partner busy practice such as ours its a pretty valuable tool.

Cheap as chips and reliable.
