Transferring Client to Clear Books

Transferring Client to Clear Books

Didn't find your answer?

I have asked Clear Books for a set of instructions to transfer a client to CB from another accounting programme but they tell me there is none. In addition, the advice I received from the help desk did not originally make sense, which gives me less confidence in the final advice.

I was eventually told to import the opening TB with the prior-year-end date but excluding the balances of open sales and purchase invoices and VAT thereon (other side presumably going to retained profits), and then import the open sales and purchase invoices.

This sounds like it would work, but as the help desk did not appear to be very clear about it, I thought I should check here to see if I have missed anything.

Should have gone to..

no, not specsavers...

I've found Xero works well when transferring clients, one of their add on partners MoveMyBooks/Ledgerscope, transferred a year's worth of transactions from Quickbooks to Xero for £120 plus vat. They also convert and transfer data from Sage.

They also do this for QB online, might be worth speaking to them to see if they can help with CB?

Correct

'I was eventually told to import the opening TB with the prior-year-end date but excluding the balances of open sales and purchase invoices and VAT thereon (other side presumably going to retained profits), and then import the open sales and purchase invoices.'

That's exactly how to do it.  Either use the Settings > Getting Started function or just do a journal.

It's a great system once you get cracking so don't let anything that's happened already put you off.

Xero

I transferred a client from clearbooks to Xero last week.

If you are good with excel and know CSV files then it can be done very easy.

The bookkeeper at the company was very happy as he thought he would have to input all the sales & purchases invoices in again.

I did noticed that you can't currently export the data from xero though.

a vote for Clear Books

although the process for Clear Books is more manual, not having the Ledgerscope option as far as I am aware, it is fairly straightforward - sales & purchases can be typed in to Excel and imported via a csv file which I find to be a simpler format than that in xero.

having jutst launched my own bokkeeping co I think I will add Data Import as a service, let me know if you want any help...

MoveMyBooks, Xero etc

Thank you everybody. I asked MoveMyBooks about this last year and they said they had no plans to do this for CB. Yes, Xero is much better for the set up, but I want to use CB for this client.

I just wanted to check I wasn't missing something.

Thanks for all your help.

Clear Books Set Up

Hi Tom,

Just wanted to get in touch about your experience so far. I know you've been in touch with us for quite some time Tom.

There are lots of import tools available in your client's Clear Books account, these are the key things you would want to use when setting up your client account, and to transfer data.

We do have some beta tools for transferring clients across from Fresh Books and Sage, but the other softwares are indeed as TBK says a little manual.

I'm going to have a catch up with the support team and see if we could work on a guide which outlines this process more clearly, as the last thing we want is to make it harder for you as partners!

Please do let me know if you need anything else, or have any questions.I'll be in touch today as I know you had been interested in coming to one of our events.

Speak soon Tom
