I have a client using Quickbooks Pro with integrated payroll. I would like to be able to map the costs for different employees into different nominal codes (eg. mechanic to cost of sales code, bookkeeper to overheads etc) but cannot seem to find any way of doing this automatically. Can anyone help?

ammend payroll items to post to expense accounts
It should be quite easy in QB

Simple Solution - By Expense code
When using QB payroll you set up individual payroll items. e.g. Salary Engineer, Salary office, Salary Dir, PAYE, NIC. Each item is assigned an expense code to post to. By default QB posts to payroll exps, tax, nic.

To get the exact posting you want you may need to create additional items then allocate expense codes to each.

Open the payroll centre (on Employees menu) and click payroll list. Highlight the payroll item you want then click on box "payroll item" (bottom left). Select "Edit payroll item " (Ctrl+E) from options or New (Ctrl+N). For existing item click Next and Next again. This will show the expense account box. Click on the drop down box and select the expense account you want this item to post to.. Click finish.
The only problem with this is the employers NIC which will post to a single account.

Other Solution-Classes
You can also track by using classes but a number of businnesses do not to use this additional level as you have to enter class for each transaction. In QB help search for "Payroll Expenses" For more information.

Use Payroll Items
You cannot map individual employees, however you can map different payroll items.

Go to "Lists > Payroll Item List" and create a new payroll item ( e.g. Hourly - Mechanic) which you can map to the relevant accounts chart . You will then need to use this payroll item when processing your mechanics wages. You can create as many as you need.

This will not let you amend the historical information however.
