A restaurant Client is keen to send its chefs out to dine at competitors restaurants for research and training purposes. They will be there to study the menu's, check out the standards of the dishes being served and report back. The proposed allowance would only cover their food, not any drinks.

Has anyone got any thoughts as to the most tax efficient way in which these payments could be made? Is it reasonable to treat the payments to the chefs as mere reimbursements of expenses incurred in the performance of their duties so that there could be no argument of any taxable or NICable benefits arising?

All ideas gratefully received.

Expenses
The expense treatment seems reasonable to me.

Get each chef to do a report on their visit, and keep the reports in a file so the results of the research can be seen if HMRC ever question it.

why not give them a float prior to each visit, and then when they return they provide the change and the receipts.

it would seem a sensible precaution to ensure each visit has a report, and attach copy of the receipts to the report.

but however you deal with this it will not deflect a challenge from the tax authorities should they choose to make one.
