A client uses Sage Line 50 over a network. We are trying to do the year end but it seems to freeze. The Task Manager shows it Responding and Not Responding every few minutes. We have checked the data and there are no errors.

The back up file is 183MB. Does this make a difference?

What do we do apart from telling client to reinstate SageCover at £800?

Typical slow Sage

 Just set it going, and don't touch it.  I used to work in a GP surgery using Line 50 over a network.  The Year End procedure took between 45 minutes and an hour and a half (I don't know exactly how long as I left the office after 45 mins and when I came back 45 mins later it had finished!)  I only found this out after threatening Sage after trying to do it 7 times.  They said they wouldn't help if I didn't have Sage Cover, I said I would take legal action for them providing faulty software.  In the end they admitted it was a common problem and just to leave it be until it is finished!

Do it overnight

Depending on the size of the Sage file, the number of transactions and the speed of your pc, a sage year end can take a long time.

Longest ive ever seen was about 30mins and during that time it looks like nothing is happening, and Sage can say 'not responding' when really it is.

You just need to leave it and hopefully it will work.

 

My advise would also be to take a back up and clear down the audit trail and remove old historical transactions.

Sage told me once that Sage50 is designed for up to 100,000 transactions, tho i have a client that has nearer 150,000 on their Sage and everyting works ok.

138MB?

That sounds like a lot of data. Probably worth clearing the audit trail and compressing the data files to reduce the size. (After backing up, of course.)

Network speed will be an issue too - 1Gbps network cards will be preferable to 100Mbps, due to the sheer amount of data that needs to be shifted. I wouldn't rely on a wifi connection.

Backup size

Sounds like you are backing up absolutely everything (which I know is the Sage default). It's often not really necessary - be choosy. I have a client with 135k transactions and the back up is well under 30Mb. The year end (over their network) took about 20 - 30 mins as I recall.

Run the year end routine on the server

We have a client whose year end routine regularly took over 2 hours due the number of transactions and the network speeds. It reduced to less than 30 minutes when the year end was directy on the server.
