My client uses Sage 50 Accounts Professional including sales & purchase order processing & stock allocation
They want to use department codes to monitor the gross profit for each salesman to check sales prices are not being discounted disproportionately
Every salesman has been allocated a unique department code
Sales invoices are allocated to each department by use of customer default tab as every salesman has their own customer portfolio
How are cost of materials allocated to each department? Products are not unique to each department but are generic across the business. Is it possible to allocate stock to the department when the sales invoice is generated and for this cost to then be reported by department?
Any ideas on how to achieve the desired information will be appreciated

Product Profit By Customer
The above report shows gross margin by customer for a specified range of transactions. Then there is the "Invoice Profit Report (Product Only) Summary" which breaks it down to profit by individual invoice.

I'm thinking that if you know which customers belong to each salesman you can split the report up to show each salesman's performance.

Just export the report to Excel. You'll need a separate spreadsheet that records customer code againts salesman. With a bit of VLOOKUP jiggery pokery and maybe even a bit of pivot table magic you should have what you're looking for! (maybe?)

BTW To get to the reports you need to be in customers > invoice list > reports

Stock allocation by department
I can't think of a way to set this up to work automatically, but you can journal between departments in the standard journal window.
for example - CR stock with dept code 000, DR cost of sales dept code 001, etc
You can generate a P&L for individual departments from the reports menu in Financials using Transactional P&L report or there are a number of departmental nominal activity reports.

It's easy with an Excel-based report-writer
I don't think you are going to get this information out of standard Sage. On the other hand, if you link Sage to an Excel-based report-writer which can read Sage datafiles, it's a piece of cake.

I'm an IT consultant and for reporting out of Sage we use a product called BVXL from Blue Valleys ( www.blue-valleys.com ). Most of the data you need for sales and margin analysis is contained in the Sage sales invoice item file. However, from memory I think this file doesn't hold the product cost, so we'd have to pull the product cost in directly from the Stock record, but it's very easy to do with BVXL.

Again from memory, I think the Sage Stock record only stores a Weighted Average Cost rather than a Standard Cost, so you may find the same product having different cost prices and messing up your margin figures. If that's a problem we can set up a user-defined file in BVXL which holds Standard Costs.

BVXL is pretty cheap (£600 ) and you'd have to pay for a day or two's consultancy, but your client would get all the sales and profitability analysis he wants - all of it in nice and easy-to-use Excel!

Excel based reporting

Another useful tool is the Analyser by Trax UK Ltd.

There are two products, one is a nominal viewer which sits within the nominal icons and allows for drill down by nominal in a departmental summary and then into the departmental detail. All quicker than it takes to run the reports and achieve the same.

 

Also there is the Excel Add-in which allows the user to create or update their current Excel management accounts with a function which then updates the numbers from the Sage data. it allows for nominal to be grouped as well as the ability to report by department and or fund if using Charity options.
