I have a backup from a client of their Sage line 50 data. They have used Sage for many years and currently use v12.

However the back up they sent me only shows current years data.

How do I use this to get back to the previous year?

For example if I try to run a trial balance when I preview the period I want to run I am unable to change this to the previous year. The clients year end was 30 June 2006 but this period isnt shown on the preview data - the first TB I can run is for month 1 ie July 2006 or b/f figures.

Any suggestions?

I am not very 'hot' on Sage!

The Year End........
Can be changed at any point in Sage Line 50 version 9 onwards irrespective of whether or not postings have been made.......

Just to clear that one up

Dont Panic........
As long as the client hasn't cleared the audit trail then you can still get access to last years data in whichever way you require......

You can change the year end on Sage and reverse journal entries.....In effect you can roll back a year BUT only if they haven't cleared the audit trail......

Sage Roll Back
Not sure if Richard is totally right there regarding rollback, the financial year cannot be changed once postings have been made.

As stated, if the audit trail is still in place then all the information is available simply by extracting reports using the dates that you need, the only one that you cannot get is the TB, though this is available as the brought forward TB if you reverse the year end journals.

Watch out for late postings
As per the previous comment, you can get the nominal ledger detail reposrts etc by using the accounting year dates. However, you should also limit it by transaction number to avoid getting any transactions that were posted after the year end was peformed but have last years date. I have been caught out several times by clients doing this !. If you look in the audit trail, you can see the last posting before the nominal y/e and then use this number as the last posting to include in the reports. Don't forget to include the balance b/f using the tick box otherwise all you will get is movement in the year.

You can also get the sales & purchase ledger aged reports by excluding later payments after date using the tick box

You wont be able to get a bank rec though if any other items have been reconciled. But they probably got it wrong anyway !.

Prior year sage reports
Have you tried the 'Transactional Reports' i they provide you with T/B P&L and B/S as defined by dates - not accounting period.

I think I have a problem with the back-up as I cant access the previous periods data for any reports incl the P&L.

I have asked him for another back-up...fingers crossed.
