Hey
We want some software for a client who wants to input each days hours worked for around 30 employees.
They are all paid different rates and indeed various rates depending on the work. For example, they may do:

3 hours at £9
2 hours at £11
1 hour at £7.75

etc...

So far we have been using spreadsheets, but they are not completely reliable.
At the end of the month we then need to pull out a report of hours worked, at what rate etc.. to do the payroll.

I have software for the monthly totals, but the client wants an easier way to provide me with these monthly totals.

It's time they had some proper payroll software of their own.

It might loose you a tiny amount of the business that you do with your client but with 30 employees I believe they are long overdue operating their own payroll system.

I have always suggested that if a client has over 10 employees, they should run their own payroll software and pass the details to their accounts software, so that it is included in the actual management accounts, either by importing a file or by using the payroll module that their accounts software supplier will provide.

Of course, you will still be able to provide them with the tax advice that they need so you won't be loosing a lot of income from them.

timesheet software
You might want to have a look at our timesheet software - at www.forbes.co.uk - go to the downloads page and choose Tempus time and fees. Sounds like it is what you need. My email is [email protected] if you have any questions.

Nothing wrong with "growing your own" in excel but remember to use it to keep track of the time you spend constructing it to see if it is a cost effective solution !

Time logging software
Hi Paul

We have simple software to meet your client's need for recording staff hours. If people are working on computers they need just one click to start timing their work automatically and accurately - until they click the STOP button. Reports are produced automatically by project (client), or by total hours worked in the day - or other selected period.

There is a single user version, but it sounds as if your client needs the multi user version, where the administrator can access everyone's input, and if necessary amalgamate time worked on a single project by more than one employee. Projects could be named with an additional code letter or number to indicate the hourly rate applicable, and there is a note section for each session worked for any additional information.

This software would meet the need for collating payroll information, and also for client billing with accurate reports on project hours worked.

How are the existing s/sheets organised?
Hi Paul

You say that they are using spreadsheets but do not indicate how they are being used. It may be that the input is unnecessarily complicated and could be simplified, using pivot tables to extract the meaning behind the data.

Give us an idea how the existing setup works and we may be able to help.

I think Richard is right. The trick is to get your clients to record only the raw data on the spreadsheet. You can then use pivot tables to extract any reports you want..

Obviously every customer is different, but as an example I would set up their spreadsheet with columns for:

Date - Employee - JobNo. - Hours - PayRate - ChrgeRate

(Charge Rate is what you bill the client, Payrate is what you pay the employee).

Tell them to enter every timesheet entry as one line on the spreadsheet, then send it to you each month. With pivot tables you can get any report out of this - hours by employee, hours by job, job billing for the month, gross profit by job, etc etc.
