The merging of Mid Sussex NHS Trust with Brighton Health Care NHS Trust to form Brighton and Sussex University Hospitals NHS Trust, resulted in the new finance department being spread over multiple sites. This departmental split brought with it some major problems, which have been resolved with document management and imaging software from specialist supplier, Version One.

The Trust now manages five hospitals, providing medical care to a population of over one million. Kevin Nederpel, Finance Manager for the Trust, comments, 'Our new Oracle Financials system gives us improved internal reporting throughout both our Finance and Procurement departments, and we're delighted that Version One's document management system is so tightly integrated into it, as it provides us with a very powerful electronic document archiving and retrieval system.'

'When the finance team were split over several sites we had major problems obtaining copies of documents. Now, however, all authorised Management and Financial Accounting staff, throughout the Trust, can instantly retrieve documents from the central electronic archive with just the click of a mouse. This has had enormous benefits, with dramatic savings of both time and money.'

'Staff are delighted that they now see a 'picture' of an archived document, with all associated information, rather than just an accounting transaction screen. Furthermore, having an electronic archive, rather than endless paper files, is one less headache, since the Finance department was fast running out of storage space.'

'We have an excellent relationship with Version One and will continue to use their software to automatically transmit financial documents such as remittances and BACS transactions. Undoubtedly, their electronic document management and imaging system works very efficiently and seamlessly with our Oracle Financials software, combining a superior and consistent method of electronically storing and retrieving financial documents with a highly reliable form of transmitting data.' Kevin concluded.

Catherine Murphy, Version One's marketing manager added, 'We are delighted to have helped these Trusts merge and we are very pleased with the savings of time and money they have achieved. As Version One is an Oracle Partner, our document management and imaging solutions are seamlessly integrated into Oracle Financials and we have seen a dramatic rise in the number of Oracle Financials users implementing our systems ' particularly as they have a typical pay-back period of just three months'.
