Version One and Oracle transform NHS Accounting

The Oxford Radcliffe Hospitals NHS Trust - one of the largest and best-known NHS trusts - and the Nuffield Orthopaedic Centre NHS Trust are transforming their entire accounting and procurement processes with a new document management and imaging system from leading software author, Version One.

Philip Bonnier, Head of Financial Systems Development at Oxford Radcliffe Hospitals NHS Trust, explained, 'We looked at a number of possible suppliers of a new Accounting system for the Trust, three of which proposed Oracle Financials software integrating into Version One's document management solution, DbArchive. We were reassured by the fact that DbArchive is a well established document management solution with Oracle Financials.'

Each of the Trusts will receive invoices centrally and scan them on receipt into an electronic archive. Authorisation procedures will be dealt with on-line using the scanned images. All enquiries by management accounts staff, auditors and so on will be made using the scanned images.

'DbArchive provides a vital building block in our solution around implementing the Oracle Financials software. With the NHS needing to become more efficient and reduce transaction costs, Oracle and DbArchive give us the tools to completely transform our accounting and procurement processes. The particular gains we will get from DbArchive are in speeding up the authorisation process ' no longer are we going to have payments held up because the invoice is somewhere in the internal mail - and in cutting the time our Management Accountants spend looking for supporting documentation; all the supporting documentation they could possibly want will be there at the press of a button,' commented Philip Bonnier.

'As a result of implementing Version One's software, we expect to see dramatic improvements in turn-round times on accounting documents. We will also have a significant reduction in the time that Management Accountants spend looking for supporting documents. Overall, we expect to see major financial benefits from DbArchive,' Philip Bonnier concluded.

Tony Bray, Director of Version One, added, 'As our document management and imaging technology is seamlessly integrated into Oracle Financials, we've seen a huge increase in the number of Oracle Financials customers, especially since this software has a typical RoI of just three months.'
