data corruption in recurring invoices
I've had around 350 recurring invoices posted monthly for 9 years with no problems, however, in April, and now May, during processing, some of them are getting lines muddled up with other invoices (I can recognise which invoices some of the errors came from as the content is quite specific) so I have to manually correct the errors and re-save the recurring invoice again. i thought it was a one-off till it also happened in May.
When I look at the stored invoice on screen mid-month it is correct, it is just during the processing that the problem happens, and it isn't every invoice, just some of them.
We upgraded to the 2011 version last September, and do not have any Sage cover. Any thought?
Data Corruption in memorised invoices
Hi John,
We have had the same issue. There are no errors, warnings or comments, but the memorised invoices are confused with details from one going to another or missing lines in a recalled invoice.
Data Corruption
I asked about the Warnings specifically as there is a particular type of data corruption (where the recurring invoices themselves are actually OK) that affects the invoice item lines which results in exactly the problem that the OP is describing...

data corruption
Hi John, the data check doesn't have any errors or warnings.
I'm thinking of running a June run early (backing up first of course) to see what happens this time as I'm more aware which customers' invoices were affected now. I wondered if it's a fault in the links to the actual file where the templates are stored, wherever that may be.
data coruption
19Kings - Hi - did you manage to solve it in the end?
Recurring Invoices
OK so that rules out a problem with the invoice item file itself. The problem with the files that hold the recurring entries data (INVRECUR.DTA, INVRECIX.DTA and INVRECIT.DTA) is that they cannot be accessed by, for example, Error Corrections.
You could try restoring an old backup that does not exhibit the problem, take a copy of those 3 files, restore a current backup and then copy those 3 files back again.

Recurring invoices
Thanks John - I think I follow that. What location would i find the 3 invoice files in please?

File Location
There are in the data folder - in Sage go to Help -> About -> System Information -> Directories (or, in v2012, just Help -> About) and you'll find the data folder there.

Hi Amiga, no not yet
Data corruption on recurring invoices
Has the above solution resolved your problem, as I am having the exact same issue and if I know that has worked then I will attempt to do the same.
Thank-you

Data corruption in invoices
Hi
due to time constraints I left it one more month, then followed the advice above, taking the invoice files from a backup from March (before the problem arose)
I think it has worked (thank you John for the advice)
As our recurring invoices do change a lot (customers come and go, or change their billing) there are still corrections to be made, which I am working through. This was preferable to deleting the whole set of invoices and starting from scratch (the advice from Sage), as many invoices have multiple lines, and I'm not a fast typist!
When I've got the the end, and run the July invoices, I'll post again to let you know if it was ok and we are back to normal but yes, it has got me back on the right track.
Amiga

Data Corruption
If you run Check Data do you get any Errors and, specifically, any Warnings relating to the invoice totals not matching the item totals?
John
