Quickbooks study books
Hi All,
I was wondering whether anyone could recommend a good study guide for Quickbooks. I use it for one client only and although i am managing, I do not feel as comfortable with it as I do using Sage. It doesn't help that the clients computer has a huge crack across the screen and i have to resize my windows in order to see sometimes, this stops me from navigating around the programme as much as I'd like - another issue i know.
Quickbooks Help
Quickbooks is really easy to use and the help is very good. The big thing to learn, from an accounting point of view, is the use of "items" in sales and purchases. The coding of items determines where a sale or purchase ends up in your profit and loss account or balance sheet.
Remember also that there is a really great online community where you can always ask other users about any subject and usually get an answer from someone who knows in a few minutes.
The other thing to remember is that, unlike Sage, correcting an error is very simple in Quickbooks. So if you are not sure about how to process a particular transaction, just do it and you can always edit or delete it.
Data Extraction Only or including Data Entry?
If you are only doing data extraction, I would recommend that you become familiar with Modifying reports.
To review the nominal ledger using the drop down menu choose
Reports/Accountant & Taxes/Trial Balance
Then drill down into the first account shown from the top the Trial Balance
Then you can select modify Report (Top left of the report window)
This has 4 tabs the first 2 are most useful (Display and Filters)
From the Display Tab you can select customised date ranges and also select various columns to suit what you want to see.
On the Filter Tab if you highlight that First Account (most likely a bank account) and then click "Remove Selected Filter" followed by OK you will have the full nominal ledger on screen to review.
Also, remember that if you export to Excel the format is kept the same as it looks in QuickBooks, unlike Sage which produces merged cells.
As others have said the User Guide built in is useful, but for tips in best use QB just post queries on the Discussion group.
I have been using QB since 1997 and I remember that my biggest leap forward in using QB was getting to grips with the Filtering ability of QB, as it is extremely powerful.
Think of QB as a very big database that you can request the data from using the Filtering functionality.
For example when I was first using QB I had to extract data for a P11D for one client. I did this by selecting each account in turn from the trial balance and reviewing it much like I would have done using Sage or something simliar. This took me over 3 hours! Having completed that I spoke to a colleague who had more experience of QB and he showed me how to obtain the same data in less than 2 minutes!

For immediate help either go to the Quickbooks Community website or find a Quickbooks Professional Advisor in your area. You can find this list on the website also.
Maybe someone needs to write a Quickbooks Made Simple textbook. I don't think there is anything out there.

The problem with most of the books about QuickBooks is that they are american, which means that the version numbers are different, the sales tax is different, some of the features (e.g. multicurrency - which is not in US version as everyone uses dollars right?) are different and the payroll is different.
We do need a good english book
I did write one a few years ago for training I was running but its now out of date as it was the 2006 version - ho hum

Cracked screen work-around
You can work round the cracked screen by setting up https://secure.logmein.com/UK/ on your client’s computer and your own. You can then log on to the client’s computer from your own from anywhere in the world.
Where's the documentation?
The paperwork may be at the client's premises.

Help Window
I found Quick Books to be user friendly that I hardly call Quick book support team. The help window is very good. I would recommend that you read through as it will give you the answers that you are looking for.
