can I add fields to SOP module?

Hi, I have posted here before about changing from Sage as I hate the interface, but my main use is for recording sales orders, so as a small company changing the entire accounting system is not really parctical. I have just about worked out how to import the data into excel so I can look through it and see all the fields I want on one screen, but I would really like to add some custom fields on the SOP page so I can record other data related to the order and use it later for marketing and analysis. Is there any way I can do this?

It can't be done, the user interface and the underlying database are 'fixed' and cannot be changed even by memebers of the Sage Developers Programme.

You have to go to Sage 200 for that sort of functionallity.

Thanks for your swift reply John. How frustrating this is though. I guess could have a custom database to produce the sales orders, but as we produce the invoices from the Sage sales order I presume it would mean manually
re-entering all the sales order description to then produce an invoice as I can't "write" to the sage database. Sage 200 is possibly a little over the top for a small, mainly print farming company of 5 employees with no requirements for stock control?

You could certainly use an external application that held all the data you needed.  As for susequently getting that into Sage, there are a couple of options:

1. Use the File Import option to import the financial results of an order.

2. Get a Sage Developer to create a link between the order processing software and Sage.

You are being a bit harsh on Sage 50 asking why can't you just add fields to the SOP screen. It's a mass market product for small businesses. Imagine the support problems at Sage if users could add fields to the screen and database.

You do have quite a few possibilities for further analysis though. Firstly, there are 3 spare analysis fields in the customer and product tables alllowing you to analyse sales/sales orders by customer types or product types and you can amend the labels on the screen using Settings/Configuration/Custom Fields. Secondly in the "Order Details" tab, there is a "Notes" box. This lets you enter 3 lines of text, each of which is a 25 character field in the Sales Order Header table (field names - Notes1, 2 & 3). You cannot add labels on the screen for these lines but you can remember what you want to use each line for and the fields can then be used for analysis in the Report Generator or via export to Excel. You can also put these Notes fields wherever you want them to appear on Sales Order Acknowledgements, Delivery Notes and Invoices.

I am a Sage Profesional Developer with a line 50 and Instant Accounts solution that has its own SOP module (POP as well) along with an inventory control facility that records inventory adjustments at a batch/serial number level. Sales Invoices are produced using a Word "model" document that enables you to design your own layout and the sales order shipment process allows you to post the transaction seamlessly into the Sage sales ledger. I usually try not to "market" my application in response to most threads I read on this site but thought on this occasion that you might be open to a pointer to an alternative SOP solution.

I don't feel it is a bit harsh expecting to be able to add fields, after all I can do this in Act and that is also a mass market product. I appreciate you help though, and do already use the 3 notes fields. We do not actually have standard products so don't use this facility at all (I have looked but it seems more about stock control) and the information I need relates to orders rather than customers.

On the SOP description field we write out the basic requirements of the job, but all the specific details are written in the tiny, unexpandable details box. This is where we have to type all the specific requirements of the job to print on job sheets and use on the invoices. Is this a field, as I can't find a table entry that relates to it? I would like to export these "details" so I could perhaps then search for the information there that I would otherwise like in a custom field.

Fair point about ACT. I feel the "What have the Romans done for us.." speech coming on..."Yes apart from ACT ..."

ACT is of course a contact database with very few tables, and mainly text so nothing like as complex as all the interlinked tables in Sage 50 that need to balance and cross reference. Sage's data recovery tools and data fix service would certainly have problems if users could modify the database, so perhaps they ought to add more spare/user-definable fields.

Several Sage Developers out there have offered customsing help, and I won't add to them - so bonne chance.
