Company Profile
Engineering Distributors is an established, family run business in Belfast. They have been trading since 1973 and employ 14 people. The company supplies electrical and engineering components and parts to wholesalers and contractors.

Challenge
Engineering Distributors were users of Pegasus Opera, and realising the improvement in technology over the last decade, decided to migrate to Pegasus Opera II at the same time as upgrading their hardware. They needed improved reporting, internet and e-mail capabilities.

Darlene Boyd, Accounts Manager for Engineering Distributors was very happy with Opera, but realised that the company had to get up to date with technology and run more detailed reports, quickly. She states “Opera has served us well, and we were happy with it, it was just that we needed to join the 21st century with our business systems. For example, the ability to be able to e-mail quotes to customers would save us a lot of time, plus in some instances customers were expecting this functionality and in this competitive market you have to satisfy your customers.”

Solution
The company worked well with their Pegasus Partner, Xperience, based in Lisburn, Northern Ireland and the staff were confident with Opera, so it made both practical and good business sense to migrate to Opera II. It had all the functionality that they required and additional benefits too, coupled with the fact that Pegasus is a strong brand.

Results
Darlene stresses “In terms of the general ledgers, such as Sales, Purchase and Nominal, the views look a lot better and with Purchase and Nominal Ledgers you don’t have to close screens down and open up again, you can switch easily from screen to screen. And it has a modern look and feel. Even Purchase Orders are printed out, there is no need to hand write these any more.”

In terms of invoicing, this is so much quicker for Engineering Distributors now with Opera II as it integrates with laser printers, which are more efficient and quick compared to the previously used dot matrix printer.

They now also save reports in PDF format, without wasting reams of paper printing them, giving secure access to those that need it, such as month end and trial balance reports. This also saves an enormous amount of storage space and time in running the reports.

Darlene is delighted with this functionality, declaring “Previously our stock valuation took a day to a day and a half, now it takes literally five minutes! I save it to PDF and it can be viewed as and when it’s needed. We had the belief that Opera was not broken, so there was no need to fix it but Opera II is fantastic.”

She continues, “We are absolutely delighted with the changeover from Opera to Opera II. It is a better and more efficient way to work, everything is faster from month end, to printing out statements and invoices to producing stock valuation reports. It has all the features that you need and much more. It has all the bells and whistles!”

An added bonus is the fact that the company and staff were already familiar with Opera, so migrating to Opera II was pain free. Darlene adds “If you use Opera, Opera II is a natural progression.”

Xperience worked closely with Engineering Distributors in moving all their data across from Opera to Opera II and are always on hand to assist them with any problems they may encounter.

Darlene continues, “It only took half a day to transfer everything across, all our staff were very positive about this and enthusiastic to be trained on Opera II. Xperience were very helpful and knowledgeable, they are an extended part of our business – our IT department. They are first class.
