AHDB to Save Over £50,000 Per Annum with Version One’s Data Capture Integrated with Agresso
The Agriculture and Horticulture Development Board (AHDB), a recently established non-departmental public body serving the agriculture and horticulture sectors, is expecting cost savings in excess of £50,000 per annum as a result of implementing intelligent data capture software, DbCapture, from Version One (www.versionone.co.uk). AHDB will also speed-up the processing of 60,000 purchase invoices and levy return forms each year and reduce manual data entry by up to 80% using Version One’s technology. DbCapture is expected to go live late summer 2009.
AHDB benefits from access to a comprehensive ERP suite, comprising financials, procurement, HR, payroll and project management functionality, from global business and financial software provider Agresso. Version One’s software integrates seamlessly with Agresso and the implementation of DbCapture, which coincides with AHDB’s upgrade to Agresso 5.5, will enable AHDB to automatically capture and verify data from scanned purchase invoices using advanced optical character recognition (OCR) technology. Any data discrepancies will be automatically highlighted for the attention of the user. The captured data will then be uploaded to Agresso 5.5, significantly reducing manual data entry, cutting data entry errors and improving purchase invoice processing efficiency.
Shaun Tillery, Financial Controller at The Agriculture and Horticulture Development Board, says, “We previously had about ten staff manually re-keying all purchase invoice data from over 5,000 suppliers within our legacy levy board finance teams, which is very inefficient. Although we had a basic document management system already within the Group, it was lacking in functionality and unproven in terms of integration with Agresso 5.5.”
Tillery continues, “After evaluating the market, Version One stood out as it was able to demonstrate a proven track record of seamlessly integrating with Agresso Business World. It was clear that DbCapture could offer us a quick solution to meet our data capture needs and provide the added functionality to significantly streamline our purchase-to-pay processes. We expect manual data entry to be cut by approximately 80%, saving us at least £50,000 per annum.”
Version One’s software will also assist AHDB with the automatic processing of 10,000 levy return forms each year by enabling data on the levy forms to be quickly extracted and uploaded into Agresso to create sales orders. This will replace the time-consuming process of manually re-keying data from the levy forms onto spreadsheets.
Tillery comments, “DbCapture will save us the equivalent of one employee’s time which will allow us to redeploy this resource to concentrate on more value-adding activities. The integration of Version One with Agresso will result in more efficient handling of documentation and the swifter approval of purchase invoices. We also expect to improve communication with our suppliers and free-up document storage space through a reduction in paper use whilst supporting our Government-led environmental programme.”
