Bibielle rubs a day off its accounting processes with Exchequer from IRIS Enterprise Software

Bibielle's investment in Exchequer from IRIS Enterprise Software is expected to reduce the time spent on accounting processes by up to a day a week. The company chose to adopt the software due to its ability to drill-down into figures and its interoperability with Microsoft Excel.

Bibielle are manufacturers of non-woven abrasive materials and abrasive tools for the metal working industry. When looking to replace Sage Line 50, Bibielle wanted a fast and automated system that would maximise efficiency within the working environment and deliver analytical data to your desktop.

Neil Smith of Bibielle comments, 'We found that Sage Line 50 didn't offer us full visibility of sales throughout the system. It didn't offer any analysis of data, had limited notes/diary functions and a slow report server which meant that it was purely an accounts package for us with no further value.'

Upon recommendation, Bibielle looked into Exchequer from IRIS Enterprise Software as well as other systems including SAP, OGL and Sage MMS. The organisation needed a solution that would be able to do the following:
' Processing sales, purchases and invoices
' Financials, P&L Balance Sheets
' Detailed reporting ' sales by area, region, profit per geographical area, etc
' CRM ' Act Masterlink to handle document management and lead generation
' Offer general flexibility and the ability to tailor to Bibielle's business needs

Neil continues, 'I was initially attracted to Exchequer due to its ability to drill-down at any point within the application. I was also very impressed with the flexibility when drawing information from Exchequer to Microsoft Excel, which I have to do on a daily basis for management reporting. I have to say that Exchequer stood out from the other systems we looked at and all dealings with IRIS Enterprise Software to date have been conducted in a professional and efficient manner.'

Bibielle invested in a 6-user version of Exchequer, with additional modules including Stock/Bill of Materials, Paperless and OLE. The latter is what provides Bibielle with a link from the rich financial management data held within Exchequer to Microsoft Excel. This means that Neil and his team can retrieve vital decision support data such as general ledger actuals, budgets, stock sales, margins and more onto any Microsoft Excel spreadsheet. What the Paperless Module allows Bibielle to do is send out financial documents and reports in a secure read-only format, by fax or email at the click of a button.

'The analysis of data is second to none in Exchequer,' comments Neil. 'The software offers the broadest range of management reports which aid our sales team no end. I am also finding the flexibility in reporting invaluable, including the report designer which is very user friendly. I have no doubt there will also be countless other great features the more we use the application!'

Bibielle will be using Exchequer in its workflow to handle the following functions:
' Buying ' generation of all purchase orders, automatic fax and email
' Booking in of stock, including batch and serial logging
' Entering sales orders, auto send confirmation and invoicing
' Automatic statement runs at end of month
' Weekly profit reports on every cost centre
' Management reports on company profitability in each department

In conclusion, Neil comments, 'Currently we manually fax statements and order confirmations, which won't happen now. We also file all invoice copies, but due to the back up facility within Exchequer we will no longer have to do this. I fully expect just these two changes to save a day a week from our accounting procedures, which is a major business benefit. The team at Exchequer have been fantastic all the way through the buying and training process, making this a very successful implementation.'
