Accountancy manager

Hello there,

is here anyone familiar with accountancymanager.co.uk ?

If yes how you use Document Portal ? I think it could be great for documents exchange with clients.

For example I could upload EL and AA to be signed and clients can upload invoices and bank statements.

Is that correct what I think ? Any experience with this software ?

Yes that's correct. I don't use the portal, as I don't think clients are keen on using them and having yet another username and password to remember, but I am in a minority.

Aside from that, it is pretty good software.

It's first time software I met with Engagement Letter e-sign option. Have you met any other software with similar features ? Is that reasonable to use e-sign option for AA ?

We use GoProposal to produce proposal for work to do be done and it generates the engagement letter with all the relevant parts that are applicable automatically.

We use Hellosign to get accounts, tax returns, VAT returns electronically approved. We should use IRIS Openspace as as we use IRIS but clients found the portal difficult to use whereas Hellosign, which is internet based, is really easy for clients to use. There is other esignature options such as Docusign and Echosign.

I think dedicated services like shared Dropbox folders are better as a portal for clients to upload files. Version history in particular is very useful. Can use your own folder structure within a shared folder too, and clients are generally already familiar with dropbox.

I use Adobe Sign (fka Echosign) for e-signing documents. AccountancyManager is great at certain things but I'd rather use a specific tool for now.

The document portal can easily be used for uploading documents and sharing them through the client portal.

With GDPR on the horizon, using a software which is compliant for sharing documents is now essential - AccountancyManager is currently undergoing a GDPR audit to ensure all processes are compliant.

As part of this audit we are also being provided with a set of terms for our users to provide to their clients who use the portal.

This ensures the whole process is compliant and allows you to use the e-signing facility which is court-admissable if required.

The on-boarding process is very slick, manages your prospects, allows you to create custom LoEs and auto-generates a proposal email.

The proposal email contains a link which enables your prospect to sign up to your services by signing your terms and letter of engagement.

If they want to, they can then go on and create a portal to complete additional registration information like the crucial UTR, NI number or Companies House Auth codes. Any information entered is imported into the Client File in AM saving you re-entering this data.

From the portal they can then share documents with you, update their details or e-sign documents as required.

AM now automatically reminds your clients by email when approval is outstanding for a particular task, so using the portal for e-signatures is a real benefit.

I think it would be helpfull if we can add folders to separate documents uploaded for e-sign and documents uploaded by the client for bookkeeping purposes.
Is that something in plans ?

Is there going to be a way to send these new terms to all clients to sign? I've only just stated using the software (Im really liking it so far) so there might already be a trick to doing that already that I'm just not aware of yet.

Just wondered whether these terms are available? I've not seen anything by email as an AM user, but I wouldn't mind a copy of available.
