Automating workflow

At the moment we chase information to do accounts, VAT returns, tax returns etc by variety of ways; post, email, text, telephone call.

These all involve manual effort and therefore are time consuming.

We are looking at automating the process so can be chased automatically (and subsequently chased until the info comes in).

Looking to see if anyone does this by automation, what they use and how they control the process.

I have looked into infusionsoft that seems to be the market leader but it seems to come with all the bells and whistles, is expensive and you seem to require training to use it properly.

Have found an alternative in Active Campaign that seems to do what we are looking for at a fraction of the cost of infusionsoft.  We are also looking to move our enewsletter over to Active Campaign (currently use MailChimp) and also looking to set up auto responders when collect new clients details.  Active Campaign seems to do all this plus links with other software via Zapier.

Does anyone do anything like this?

What software do you use?

How do you control the process when say the VAT return comes so the reminder is turned off and then reset again for next quarter?  Assume you have a stage in the auto process that once triggered turns off reminders and resets for next period reminder?

Personally, I'd be toey about this. It's not hard to foresee the records arriving and everyone's so excited that they forget to cancel the reminders. Reminders go out, client complains he brought them in a fortnight ago, firm doesn't look so efficient as you thought it would.

I experienced this problem when working in practice and expected to find an affordable software solution which could deal with most of these problems.

We wanted one which could automatically request records, chase clients for missing information like UTR numbers or Companies House Authorisation codes, generate a workflow and have the ability to send out newsletters to clients.

Unable to find one we developed AccountancyManager

Hello Marks,

I used Logical Office years ago. It does what you are looking for. Though Logical Office was not for me. At the time, it had too many bugs and it is NOT cloud based.

They may have ironed out the bugs now.

It is only for recurring emails. For us it is a real time saver.

Applications like Logical Office can be made to be cloud based by getting them hosted as an App. Done this a few times now for others.

We used to have logical office as well before we moved to IRIS. In the demo it looked like it would do everything that we wanted but in practice it didnt.
