Brightpay help - amend PAYE reference

Amend PAYE reference

Good morning, I have emailed Brightpay but offices are closed obviously. I know a lot of people are advocates of Brightpay on here so may be able to help!

Should be a fairly simple fix but one the software is not allowing me to do. Change the first 3 characters of the office reference, it will let me chnage the accounts office ref but not that! Any help would be appreciated.

This is self-contradictory. First you say you can't change the Accounts Office reference, then you say you can. Please clarify what you can and cannot change. Use the box descriptions that Brightpay use.

Ah apologies! I CAN change the Accounts Office Reference, but not the PAYE reference.

I have downloaded Online Tools (I know, its not great) but atleast its gone in on time. I'll await BrightPay's response!

I don’t use Brightpay but if you had to input everything into Basic Tools couldn’t you have just set up a new employer record in Brightpay instead?

I don't know Brightpay, but there are three 'similar sounding' data items that are mandatory for every FPS and EPS:

* 'HMRC Office Number' - this is the first part of your Employer’s PAYE reference and is three digits. For example: if your Employer’s PAYE reference is 123/A246, then your HMRC Office Number is 123.

* 'Employer PAYE Reference' - this is the second part of your Employer’s PAYE reference (after the forward slash). For example: A246 (from 123/A246).

* 'Employer Accounts Office Reference' - this is in the format 123PA00045678.

Your question is unclear, but I think suggests that you want to change the second of these items?
If so, why (assuming that by 'change' you mean to a different value than the one you used for this employer's submissions last week/month)?
Does this mean that previous submissions used the wrong value?

Maybe now they have two payroll schemes ? If so, then things are more difficult than changing a number.

Or maybe the reverse (had two schemes previously and are now transferring one into the other as a merger), or ...
Hence my asking "Why (the change)"?

Well, it's the Office Number being changed so maybe HMRC have closed yet another office.

Is it? That would make more sense, but is not how I read OP. Hence my also asking for confirmation as to exactly which item was needing to be changed?

So, fairly fundamental ... we (or at least I) are unsure as to what or why OP is trying to change!

In the OP, he says....

"Change the first 3 characters of the office reference..."

I can't put any other interpretation on it.

Well, being my usual pedantic self ... "Change the first 3 characters of the office reference" is a statement (almost an instruction), not a question ... but it doesn't actually say that this is what he tried (and failed) to change.

I did say that your interpretation would make more sense ... but it looks like we'll never know for sure the answers to my What? and Why? - as OP appears to have found alternative work-around to problem (although no idea what "downloaded Online Tools" means ... possibly BPT?).

You can edit it as I've just tried on mine. I just clicked in the box with the first three numbers, changed them, then clicked save (then changed back to what they were!!)

Hello all, apologies for the confusion I was rushing around a little this morning.

For clarity; 'Online Tools' = BPT, you are correct. And it is the HMRC Office number I am wanting to change, the '123' of the '123/A456'.

I think I've found the crux of the problem. My BrightPay is for single employer only and I imagine that is why I can't change the office reference, as BrightPay allow one employer per 'copy' and people could submit an FPS for company 1. Change details (including the Office Ref) and then submit for Company 2.

I've not submitted anything through it so I hope BrightPay let me amend it when/if I hear from them tomorrow!

Sounds plausible - but do let us know whether that really is the reason according to Brightpay. And, out of curiosity, why you wanted/needed to change this value?

Dear AA90

Many of us are here, sitting on tenterhooks, waiting to hear from you. As a plea to posters generally, when you find your solution, please post it here so that others can benefit from your experience. After all, you have asked us for help, so the least that you could do is let us know the solution.

So, was the reason for not being able to change the reference because you had the "single employer" version of BrightPay? And, secondly (out of interest), why did it need changing when, presumably, earlier months used the other reference?
