We are currently looking at the cost of our payroll software and have just moved into a higher costing band due to an ever increasing amount of payrolls on our system.
My question to any other bureau/payroll provider is, do you remove companies that have either become dormant or moved to another provider to keep your software costs down?
If you do, do you just run numerous reports, copy payslips etc for the required years and file them incase HMRC want to inspect?
Be really interested to hear what others do.....

Why don't you simply save a backup file and then delete them from the system. If it becomes necessary, you can restore the backup.
Most software I've used, all the way from Star and Payrite right down to Moneysoft allow this.
If they have left you as a client, I would output the data in to, say, CSV and PDF format and send it to them - up to them to keep it once they are no longer your client. You can then delete from your records (after keeping your own copy too)
Would you consider moving to payroll software that offers unlimited employers and employees such as BrightPay. That way you wouldn't have to remove any company from the payroll. I'm a BrightPay user and love it. It's also very reasonably priced.
