I run a small accountancy practice with around 60 clients.  I am a diehard VT fan, so I wouldn't consider changing to any other accounts software.  I would therefore like to buy a stand alone software package that will enable me to keep and manage my client records efficiently and I don't want to spend a great deal on it.  I thought that Moneysoft did one, but I have just been on their website and it doesn't seem to be on offer any longer.  I would be most grateful for any suggestions.  I would prefer a package that is specific to an accountancy practice rather than a general client database package.

I suppose you could try outlook if your records are limited in scope.

Budget?

Hi

We know all the packages but do not make specific recommendations - you'll want something not part of a bigger suite but it then depends on what your budget looks like.

Probably the top 2 or 3 in this bracket that we come across would be Logical Office, Relate DRIVE (includes email) or similiar.

Do you need timesheets/invoicing/document management? These are the questions you need to consider....

Logical Office or HQ

Have a look at logical office, or HQ for accountants - or if you don't mind switching Tax software you could take a look at BTC's PM solution ( I am not sure if BTC PM Solution is available as a standalone product) .

HQ for Accountants

My practice was involved in the development of HQ for Accountants and you should find that it covers all of your needs as an accountant, and more. In particular, it is the only system I know of that allows for multiple businesses to be linked to multiple individuals and vice-versa (without duplicating contacts).

Keep It Simple

If you work alone I would very much recommend a simple database of clients in excel/or access. You don't have to worry about controls so much when working alone as there isn't anyone else to mess up your system.

Again if working alone I would suggest just using a windows explorer folder structure for document management.

If a big part of your communications are in outlook then I would suggest some of the addins from this company are a good idea: http://www.techhit.com/

Does anyone know if it is possible to edit outlook contact contacts to include year end dates etc so that you can set up automatic alerts.

Also, is it possible to edit the field in outlook contacts to include UTR, VAT number etc.

I'm also curious how others set up their contacts in their database. For example, do you set a Limited company up as a client and the directors as a separate client for income tax?

Wouldn't touch SAGE with a bargepole - I am told the ACT product is great... maybe a bit OTT for a small practice... but dealing with SAGE as a company is another matter altogether.

Maximizer CRM is excellent

As a sole practitioner, I have started using Maximizer Entrepreneur CRM (www.max.co.uk).  Costs around £180+VAT and is very flexible with unlimited user definable fields available for creation i.e UTR No., Company No., VAT No. etc. etc.  I am currently working on a template for this which would can be imported specifically for sole practitioners or small accountancy firms. The package can also attach emails/send emails, merge documents, tasks, appointments etc. to each client so that you have a running history of contact.  It will also link to outlook if this is required.  There is also some workflow tools that can be applied to client records e.g. for VAT Quarter Ends, PAYE Month Ends, Tax Returns Due etc, you can then print the report to see what work is required. Word templates can be created and merged very simply to one or numerous contacts.  There is so much that this software can do and I had been looking for something like this for a long time.

Note that I am not linked to Maximizer software in anyway but am just a very impressed end user.

Practice Management Databases

We are non-practising chartered accountants who now design and build databases (and websites).  We have been working with a small accountancy firm and have just finished building a bespoke system to their exact requirements.  Their particular desire was to have a way of measuring a job's progress based on value rather than time.

Being accountants ourselves, we are keen to work with other accountancy firms.  There does seem to be a lack of suitable off-the-shelf systems out there, and a bespoke system might be more affordable than you think.

amphis software
Do a good crm package called amphis cusitomer. It is fairly simple to use and certainly works very well for me. Its also very inexpensive. I know BTC have something similar but I haven't used it
