Credit control using Xero

How best to operate credit control when using Xero.

Didn't find your answer?

Hi.  We are trying to figure out the best way to operate our credit control using Xero and/or add ons.  Ideally we need a report to show outstanding invoices and notes as per Xero.  At the moment to do this we would need to visit each clients ledger.  Which is too time consuming.  Is there a way to do this in Xero or via an add on?  We have added Satago but this does not really give us what we need.

What are your needs is it better reporting or to actually chase debts automatically.

I find Xero + GoCardless + payment reminders is good enough for most people., and for my needs also. If you need to do anything else just extract the report to excel.

if you need some automation to the collection process and something more than the above add CHaser into the mix which will automate the chasing process until paid. You have got to keep your Xero right up to date though.

Thanks. We use Xero + Go Cardless + Satago. But we find that on some debt you still need that human contact. Hence why I was looking for a report that included the debt and the notes. Otherwise you have to go through each debtor on Xero.

I don,t believe Xero do provide this. I have been searching for a long time. Which is why many clients will not use Xero. Unfortunately, we need to keep separate notes for Xero Clients when we are doing debtor chasing.

Xero and Go Cardless to really cut it for larger invoices and projects in relation to Debtor chasing. It is okay for small invoices.

I take it you are looking for something similar to Sage L50 communications report which is excellent and we send this to clients.

Or you could use One Note 2016 which is great to use for notes and have a page for each debtor with notes which can be exported easily to PDF report for the client or yourself. We tend to delete the detail when an issue is dealt with. But that would keep your notes in a detailed and orderly way. OneNote 2016 is very suited to note taking and details and attachments for example invoice and statements with your notes.

If what you're looking for is just a list of overdue invoices, sorted by how overdue they are, I use Xero's standard Customer Invoice Report with Dates: Due date, Status: Show Outstanding and Sort by: Due date. Then I export to Excel, add in an additional column with how many days overdue the invoice is, and add my credit control notes.
It may be possible to add my notes to Xero itself and then add that to the report, but I haven't investigated that.
