Can anyone recommend some simple software to keep track of companies house and hmrc deadlines for limited companies

Excel with conditional formulas based on dates. Separate tabs for each type of work e.g. VAT returns , payroll, monthly management accounts etc. then a summary sheet showing the position for each month by type of work and if anything is still outstanding. This allows me to step back from the detail and manage the months work

I also use toodledo for reminders and ad hoc tasks

I've moved to BTC so I should probably be looking at their task management tool but at the moment what I have works...

It probably sounds more polished than it really is to be honest; it's still a work in progress but I'll get it finished over the next couple of months. I am using the excel TODAY() formula to look at how overdue items are which in turn can trigger colouring of cells etc. using conditional formatting. So for example if I know the year end for a company is 31/03/2013 it will show as 16 days past the year end as at today which will be a certain colour so I know I can start my process of chasing client for info etc.

Thanks, I never thought of using the TODAY function.

That is what I do

I use Excel with separate tabs for each type of work.

I have now got VIP Task Manager Pro which can take the equivalent of different Excel tabs and sort on one field - eg. "deadline for submission", "end of period" or "data received".

Hopefully, eventually I will design something in Digita Practice Management.

toodledo.com

I use toodledo.com for all deadlines - it's a one off set-up job and then you can set the deadlines to recur quarterly (VAT), annually etc.

You can then summarise deadlines for the next day, seven days, month etc and of course by client. It works very well for me.

Companies House have very good reminder system (via e-mail) approx cost per company 50p

If CH send a reminder that would trigger in your thoughts that HMRC should be dealt with as well

Yes free - you can have multiple email address on it so the client also gets a reminder if you wish

PC Share Register Plus

You can download an old version - I believe version 10 has unlimited companies available.

Full version looks excellent - can do annual returns, appoint directors etc all from the software if you wish. Free version can be used to track deadlines - accounts and annual returns.

Was recommended by Sage - unbelievably it is quite good!!

I would also recommend PC Share Register. We used to use it and only stopped because we wanted to cut our costs. We only have about 15 limited companies in total and monitor dates for Annual Returns etc using Excel and the Tasks reminder in Outlook, but for a program that does the filing of returns, creating minutes, dividend paperwork etc as well as flagging up the tasks Share Register does pretty well. Alternatively, as someone else said, you could sign up for e-reminders from Companies House for free and then generate your own diary reminder for HMRC when the CH reminder pops up.

Zoho CRM

I started with a spreadsheet but always worried I had a formula wrong and never was happy with scanning the whole sheet all the time to make sure nothing missed - even with conditional formatting.

I tried Outlook but not happy with that.  I'm now using Zoho CRM which, for up to 3 users, is free.  It's web-based which is quite useful and is a full CRM system with calendar/diary, etc.

I have set up a series of user defined tasks which I can put a due date on for every client - CT Return due, Year end, Accounts filed, Accounts sent to client, VAT Return due, etc, etc.  The system can list your 'activities' by date so you can see what needs to be done soon and over the next days, weeks and months.

Worth a look and you should know pretty quickly if it's going to work for you.

1) sign up for a free account

2) have the security and authorisation codes for each company you wish to track

3) import each company one by one

4) sync them with companies house

5) the 'my companies' dashboard shows the relevant dates of the year end, accounts filing and annual return filing deadline

chargeable services are also available from the for company formation and filing etc (The site is Companies Made Simple if you want to access it yourself rather than by the above link

The service is free and reliable and i use it,

Sadly not.  Its really in its infancy.  Whenever I go to a report, it says report to be designed.  Perhaps at some time they will.  We looked at logical office but a bit pricey.  HQ but was limited.  With Glide, you have the main admin who distributes the jobs.  Then each manager has their own list of jobs and the status, eg. books received but not started etc.

We never knew where we were until we got Glide.  Now we can see the status of each job and those that are up and coming.  Brilliant!

Outlook / Digita

I am amazed nobody uses Outlook as a reminder system.  I also use Digita suite of software which is brilliant - particularly the Company Secretarial Module which has a sentinel function e.g. goes online to get the latest deadlines.   I also set up the company house email reminders which are excellent.

we have around 500 customers.  I'm not sure how Outlook could manage to cope with auto reminders for year-end and annual returns?  I would love to be able to use it

Deadline Management

 

I tried diffrent options to track my deadlines. Few are free but useless. Few are too expensive. MB Practice manager is good but very expensive and not for small firms. It is also desktop based and no good when you are moving around. Currently I am uising practicepa. It is a best software for tracking deadlines. It comes with a free one month trial and it cost only £20.00 a month. It is cloud based and you can access anywhere. www.practicepa.com

Track Companies House, HMRC and other deadlines - automatically

Hi,

Disclaimer - I'm the founder of Firmzen.

Just today, we released something which I believe is highly relevant here.
