Hi,
I have a dozen or so guys who are out and about and who (sadly) spend my money. At the moment we use manual expenses forms to capture what they spend and then input these into the accounts system (VT - 'cause I love it)
Can anyone suggest an online system that would allow me to do this? Ideally, an online system that was free?

Xero
Although Xero is not free - you can use that as your accounting system - and set it up so that you employees can can enter their own expense claims without having access to anything else.
Ditto FreeAgent (or Iris OpenBooks)
One of my clients took this up just for its expenses facility. It also handles mileage claims, where each enters their car CO2 details etc and the system takes care of the claims, incl VAT on the fuel element.
You can download excel TB or transaction files for input into local books.

Xpenser
One of my client companies use Xpenser. http://www.xpenser.com
They submit their expenses online or from smartphone or text or emails. At the end of the approvals process I get notified that an expense claim has been approved and I log in and export to the accounts.
Concur
We use Concur, which also integrates with travel booking and credit cards. Allows customisation of approval flows, and claims can be made and authorised via web, smartphone or tablet. Once approved, the system can integrate with banking systems and accounting systems.
No idea on costings (our US parent deal with that) and I've no affiliation with the company other than being a user.
Receipt Bank
To my knowledge no expenses system integrates with VT.
My company Receipt Bank can automate the expenses process (and the AP process) and publish the data to systems such as FreeAgent and Xero. Your best starting point may be to contact VT...

Googledocs
You could setup a spreadsheet for each employee, tab for each month and run it on Googledocs giving access to each employee but only to their spreadsheet

I dont think if any such good tool is free but would suggest to have a look at Replicon's Online Expense Tracking Software which is quite simple and easy to use cloud based application.
