Has anyone taken plunge with AccountancyManager

An overview of weaknesses would be most welcome

I have recently trialled AccountancyManager and seem reasonably impressed with the software. I don't think it's ready yet for MTD but it seems to be evolving all the time so confident that they will manage this process.

I also attended a webinar and someone asked about sales credits which I don't think is yet available or how to quote fixed fees from the templates.

I would appreciate if an existing client could give me their opinion and any major weaknesses that the software hasn't implemented. Is it easy to export the sales invoices raised into VT.

I see they have a weekly vote for new specifications driven by the users.

We are in the process of implementation. So far, it meets our needs.

The team listens to feedback and do their best to implement changes.

We implemented it after meeting the guys at Accountex in May and are very impressed with it. It's not perfect, but it's a LOT better than any other CRM we've tried to mould to our needs.

The implementation polls are great and they're also more than willing to take on feedback and adapt to something that we really need, rather than what software developers think that we need.

Biggest weaknesses, for me, are the lack of recurring invoicing (although that is coming, I'm promised), lack of integration with QBO and the inability to add custom fields.

I've not yet tried to export invoices, waiting for the recurring feature to become available.

Best parts, for me, are the automated emails/reminders to clients and the engagement letter and client dashboard which lets clients check and update their information. It also lets them invoice and hold their own client data on there, but I found that was confusing people so thankfully you're able to turn that off too.

Hope that helps, let me know if you'd like to chat about it further.

Accountancymanager has changed my life – for the better. I am now more organised, I know what deadlines I have coming up, engagement letters are a doddle.

I have even recommended them to other accountants I know.

Their software is a game changer!

We were you going to implement Senta but the workflow element seems to be a bit cumbersome. Very workable but the templates they have seem, to me, to create too many tasks so the system could become overbearing.

Trello is basic but useful. I seem to have worked out how to create a recurring job which contains a checklist, which is better than having each task within a job having it's own due date etc. But Trello is no CRM system.....

How does Accountancy Manager compare to Senta, anyone know? AM attracted me based on the client portal to gather standard info at sign-up stage such as UTR etc.

Is the workflow stuff any good? I don't want to see 10 things to be done for a VAT return popping up everywhere, I just want to know the VAT return due date and perhaps a set of steps we can set up with this that guides the staff member on how to get the job done.

Also, Karbon looks great but a bit pricey at £89 per month. A bit costly for 5 staff in my view. Anyone draw a comparison between AM and Karbon?

I have just recently become a user of Accountancy Manager. I operate a small but busy accountancy practise and due to growth I was finding I needed an effective tool to manage my tasks and deadlines. So far I have found the software excellent. It didnt take me long to upload my clients to the database and there is a great deal of functionality within the software. It has already saved me time and peace of mind that I will not miss any client deadlines. I would recommend to other practises.

@FirstTab Thanks for your comments and for some of the nice things you've said about us in your blog! Just wanted to make clear that these new accounts are customers of AM and we appreciate them posting on here.

Having received some testimonials at the time, it seemed to make sense to direct them to this page.

The recommendations are impressive, but we seem some way from 'all in one place' at a reasonable price for sole practitioners. I would like to see the 'pipeline' list so that I had an end date for paying fees to multiple suppliers.

Even though we are still yet to use it to its full potential, Accountancy Manager has already proved to be an asset to our practice.
Before Accountancy Manager, we used multiple platforms for our client communication, managing tasks, deadlines & keeping records but now we have it all in one place which makes everything so much easier & cleaner.
We trialed other practice manager suits but found Accountancy Manager to be the best. I would also like to add their customer service is excellent.

Hi Jay,

Can I ask, what other PM packages did you try and what are the advantages of AM over those?

Thanks for the input.
During a webinar someone asked about sales credits which at the moment I don't think the software is set up for this.
The other question was based on template service email quotes for various services. The templates are setup in the services section and you add costs for a number of selected services but nothing is set if your practice is run on a fixed fee basis and you want to consolidate your services into a package cost, it's not a deal breaker.

On the security side they have ISO accreditation but the servers are EU based but not UK, not sure why that is and have asked the question.

The cost for one subscription looks reasonable and is lower than some other providers.

The rest of the software looks great and I'll probably also join this week.

To create a credit note, you just enter the amount with a minus. This will then change the invoice to a credit note.

We are currently improving the way the system deals with charging a package cost which may be charged monthly. I expect this to have been completed by the end of next week if not sooner.

While the servers are currently based in Germany, they are powerful and environmentally friendly. As we move closer towards leaving the EU we will be switching over to servers based in the UK.

Liking it so far. It seems better than other offerings and is excellent for tracking deadlines for everything.

The features I wish it had are:
1. Ability to send tax payment reminders to clients, but to be able to disable for certain clients, for example clients who get cat refunds each quarter.

2. Ability to generate pdf letter templates from the system which can then be attached to emails.

3. The client portal is confusing for clients and I will not be using it. I prefer to send email attachments rather than asking a client to log in to a portal to access attachments.

4. Better mechanism for sending quotes ) engagement letters to clients. To send a quote, you have to mark the client as a non-client before the option to send a quote is available. Still unsure how to send engagement letters from the system.

5. Link the calendar to Google apps

6. The invoicing module is no use to me as we generate invoices from Xero. Therefore the WIP tracking function doesn't apply. Perhaps link it to cloud software?

The above is just a list of functions that I would like to see added to the software. It is however a promising but of software and the developers seem to add improvements in a weekly basis.

@Manchester man if you are a big Xero user you should consider the developments Xero are doing around Xero HQ it will make a dig difference for managing your Xero clients all in one spot.

from what perspective will you be integrating with Xero.
Will AM connect with your individual clients Xero accounts to push and pull deadlines etc from it, or will you be linking to Xero HQ.

What data will you be looking to extract from Xero into AM.

Great you are liking the system so far!

In response to granting your wishes please see below:

1. Tax payment reminders to clients will be completed next month!

2. Generating pdf letter templates from the system which can then be attached to emails will be completed next month!

3. We have tried to simplify this process as much as possible along with keeping it automated. When we build the pdf letter template function, you will be able to attach the LOE to an email instead of using the client portal.

4. Please get in touch with us and we can explain how to do this without having to make the client a prospect again

5. Integration on our list for next year.

6. As above, we will be integrating with the Xero API next year.

Thanks for your comments!

Hi all,
I've been using AM now for about 4 months, again found it at accountex like a few others below.
Similar feedback I guess, it's been really good for us. It did take a bit of time uploading client info as our record keeping was a tad fragmented (different sheets for vat/payroll etc) but we're now on track.
Auto reminders are amazing, as well as the easy onboarding.
Finally, the best bit are the weekly polls and the really good support from James, Alex, Phil and the rest of the team that I've bugged with our queries!
Keep it up gents, I'm also recommending it to other accountants I know who aren't dinosaurs :)
If you'd like a chat, feel free to dm me and I'll be happy to answer any questions you have.

I'm not suggesting anything untoward.. but do you do know that this software is run by a practicising firm of accountants called 'Accounts and Returns' in Warwick? They are well known for mailshotting that they offer a no frills cheap filing service. You are putting all of your client info on there including their contact details

Hi Fellowcraft,

Although the software was built for accountants by accountants within Accounts & Returns Ltd, AccountancyManager is not owned by Accounts & Returns Ltd. These companies have different directors and shareholders, with 2 common shareholders.

AccountancyManager is in compliance with the UK Data Protection Act and has been audited by solicitors for GDPR. As stated in our terms, AccountancyManager does not sell or pass subscriber's or their client's information to third parties.

Legally and ethically, none of the directors of AccountancyManager would share this data with any other company.
