MoneySoft won't accept more than 250 emplyees

We have been using MoneySoft for 8 years processing several hundred payrolls. We have 10 licences for 100 employess and one licence for 250. That one licence is because a large employer with about 100 employees at any one point but because of high staff turnover has about 260-270 a year when leavers are included. MoneySoft have told us the software won't accept more than 250 employees for 2018-19. I have spoken to MoneySoft and they will be enforcing this in future. How are other MoneySoft users dealing with this?

Split the >250 payroll into two (or more) separate payrolls of under 250 employees, with the same employer name and PAYE references. HMRC accepts two (or more) FPSs for the same PAYE reference, so no problem there. Makes the payroll process a bit more manageable, too.

The only problem is with items reported on EPSs, such as SMP recovered and CIS tax suffered. As EPSs report only YTD figures, you have to include all employees who generate a statutory pay recovery in the year on the same payroll and use only that payroll to file EPSs, including the one at the start of the year to (dis)claim the Employment Allowance and the final one at the end of the year.

Thanks Euan, I didn't know you could split the payroll. Your suggestion will work well because I don't expect to exceed the 250 by much and it will only occur towards the end of 2018-19 so unlikely to be EPS/SMP problems etc.

Euan's solution is what we've done for our biggest client for several years. They have 12 sites plus head office and each one is a separate Moneysoft file.

No problems at all with FPS but you do have to be careful with EPS submissions - last one wins, so you can inadvertently overwrite SMP claims.

Take special care with the settings for Employment Allowance and Apprenticeship Levy allowance.

I have a company in a similar position. However, theirs is seasonal work doing specific projects, and therefore I requested an additional payroll scheme from HMRC. I can split the staff between the different projects in order to keep the number below the limit.

You have to look at the HMRC requirements for an additional payroll for the same company, but I didnt have any problem in finding suitable grounds.

I did look at changing to a different program, but didn't want to have two separate payroll programs, and didn't want the admin burden of changing all of my clients to another program.
