Portals - Smartvault, Docusoft, Suite Files, MyDoc

Feedback requested for portal options

I'm a sole practitioner (no staff) looking for a portal solution for (mainly personal tax) clients.  I need something very straightforward: both client and I to be able to upload and download documents plus secure document storage and e-signing of various documents.  Does anyone have any practical experience of using any of Smartvault, Docusoft, Suite Files or MyDocSafe?  I've not found any of them particularly intuitive in the trials (either as the accountant or the client).  Smartvault and Suite Files seem to have a strong US bias that I'm not sure will translate well to UK usage. Any comments on practical experience or other portal suggestions would be welcomed.

Iris Open Space is free. Who can argue with that.

Just called Iris and unfortunately Open Space is no longer free and costs £1K + for non-customers of Iris. Any other suggestions?

I'm wondering whether the person you spoke to is right. It is free up to a certain amount of space - sorry can't remember how much.
I'm not currently paying for it.

Apparently it used to be free for accountants up to a certain amount of storage. With GDPR, IRIS saw the value of their product and started charging. Some customers are apparently still lucky enough to have the free product but new customers must pay unless they are using an IRIS product.

Docusoft portal is certainly intuitive for clients - many approve the documents whilst we are still writing a short paragraph telling them what to do!!

The most difficult bit is to educate clients to use the portal instead of attaching documents to emails!

Thanks Kevin, that was my impression from the trial, especially as in my experience clients don't use the portal for storing documents to refer back to. What is your experience as a practitioner of the product?

Iris very recently offered a free licence to all ACCA members. I've taken mine up but not fully set up.

We tried most of them last year and have settled with MyDocSafe that we have been using since March 2019. We have had no problems both from our end and the clients. Even one client e-signed all documents without any problems and he was the only we thought would have problems. Price very good and excellent support by return. We highly recommend this as a small 4 firm practice.

As a matter of interest are you using it standalone or as an integration with/from another product ( e.g. BTC, Logical Office etc) ?
I found the portal aspect a bit confusing - how did your clients find accessing the portal ?

Hi we use BTC that was okay, unless you wish to send more than 1 document for signature. MyDocSafe allows you to send more than one document at a time, so client only gets 1 email, not many. However, the docs cannot have any security as the e-signature needs to access the document.
None of our clients had problems creating their account or logging in, only one did but it was perhaps us learning. We now let clients have a “dummies guide” so all works well.
