Really basic Prepopulation question

Apologies if I am asking a really dumb question but I have just started to look at using the prepopulation API in my day job where we use BTC tax software.  There are 4 people dealing with tax return preparation, well over 1,000 returns a year.

My first timid look at setting up the authorisation seems to indicate that each individual user will need to use the 2SV each time they want to download data to a return, or at the start of each session, or something.  I appreciate that we are meant to be ultra secure these days but how can this be practicable if we are all sitting waiting for a text or phone call with an authorisation code each time we want to work?  Or am I getting entirely the wrong end of the stick and is the 2SV a one time only thing for the firm as a whole or for each relevant staff member?

A query email to HMRC for help elicited a stock response which totally ignored the subject of the question so before proceeding any further I am hoping the collective wisdom of the Aweb community can shed some light on the subject.  I also have access to Taxcalc so will explore how that deals with the question to see if it helps.

No, you don't do it multiple times, you have to do it just once, firm wide & then it sticks (I think they originally said for 18 months however I've had to do it at least twice in the last year).

Thank you Wanderer, that does seem more practical. I suppose it throws the responsibility for security back on the firm's administrator to keep user permissions and passwords up to date.

As a side point, I did my first 17/18 tax return (TaxCalc) yesterday and the API link said that HMRC haven’t set it up yet for 17/18. What’s that all about?

I did the authorisation on TaxCalc yesterday which worked fine then I also found that 17/18 data wasn't available for download yet, the reason being that it is too close to the end of the year and HMRC need to do their PAYE reconciliations. I tried to access 16/17 data for a client who hadn't filed a 16/17 return and at that point I was told that the system wasn't working at all so I wonder whether that was a blip or if there is a complete shut down of the prepop API until May when 17/18 is meant to be live.

But isn't the point of RTI that those PAYE rec's are done instantly?
Sounds like creating jobs for jobs sake to me.
