Time and fees software

Looking for a new time and fees software package

Hi.

After using Star Time for all my time recording, WIP and billing for almost 20 years, it has finally given up the ghost. As it was swallowed up by one of the bigger software houses, I'm looking for an alternative. Don't need anything too fancy, as long as it does the basics and works I'll be happy. Thanks in advance for any suggestions/recommedations.

We use Harvest (GetHarvest.com) which I’ve found v easy. Each client has multiple projects & we set up each billing cycle as a new project. Most of our fees and fixed monthly, so a project would be eg Dec 20 and we’d put all time relating to any job during that year to that project. It lets us track time v bills, then archive the project once the YE is all bottomed off. If you bill hourly, it also lets you mark time as billed - so you know what is unbilled - and will transfer that time to a Xero invoice. You can have a Xero integration that pulls & pushes client through, but we don’t use this as my client name in Harvest would be something like ‘A Ltd / Mr B / Mrs C’ (based on the SATRs being included in the ltd fee) so when posting time, everyone knows where to put it. The search function in all places is excellent - any part of client name, project name & project reference is fully searchable everywhere. We’d have as a reference ‘A-2019’, ‘A-2020’, ‘A-forecasts’ etc.

The reporting is good, the interface is modern. The only negative I have (although I would only use this feature on 1 project) is that whilst each person has a default rate which can be overruled on each project, you can’t multiple rates fir the same person on a project. ie I have 1 rate for doing accounts and another for consultancy and have had to open a ‘consultancy’ project just to record this.

We use their sister software Forecast for our job planner. Once a client & project is created in Harvest it is pushed through to Forecast so you can put it in someone’s planner. The time v fee graph in Harvest then shows not just actual billable time but also forecasted time based on the future entries on Forecast. This is great for seeing whether I need to get a more junior member of staff to do the accounts than I’d planned to! Or if it’ll be way over budget I need to interrogate staff and poss have a conversation with the client.

Plus you get a 10% discount if you have both softwares.

An excellent desktop and mobile app to boot.

10/10 for me.

We use glide (whatsglide), it is a PM software but incorporates a time module, it is simple to use and not too expensive, particularly if you wanted to use it for PM too.
