Using Xero as an accountant

Is using Xero as much hassle as it appears?

A few of our farming clients have started using a Xero derived farming package, but the login process seems to require us to download a verification App on our phones. As a small rural practice with inadequate mobile coverage this seems a lot of hassle. Broadband out in the sticks is pretty poor too, but hey, that's where our clients are. It's also a bit of a cheek to ask staff to put the app on their own phones. How have other practices managed this?

Yes.

If there is "inadequate mobile coverage" and "Broadband .. is pretty poor too", then you (and in particular your clients) don't want a solution that relies on both of those being available (at high bandwidth) 24/7!

There are others on here with a substantial practice in the agricultural sector who may have more positive suggestions ... but Xero for your clients sounds to me as about as appropriate as buying an electric vehicle where there's only one charging-point (and a queue to use it).

The verification app on the mobile phone (Google Authenticator, Authy, etc.) requires any internet access, but not specifically 3G / 4G / 5G mobile data.

So long as there is broadband (and a wifi router), then the mobile phone can access the internet (and the verification app) via broadband.

The verification code that you put into Xero also lasts 30 days.

Of course, if you cannot get reliable broadband access, then you will have a lot of problems.

The mobile app (I use Google Authenticator) only requires internet access in the first instance to download it onto the phone and set it up.

Once setup it generates a new code every 30 seconds regardless of whether there is an internet connection.

I've just put my phone into flight mode- logging into Xero on my computer using the code generated by the Google Authenticator app still logs me in successfully.

Are your staff really not going to have internet access when they login to xero?
As Mr Hankey has confirmed google autrhenticator should do the job ref autentication if needs be.

If they dont want to use their own phones employer should provide cheap mobile if needs be - alternatively simply get them to enter memorable info each time they login. Pretty miserable staff if they are chowing on about having to install app if they have a mobile (thats empoyers problem if they dont.

Welcome to the world of extra security being sensible. I use google authenticator rather than xero and have never had an issue getting code on the spot ever !

Good idea, I'll get them all cheap mobiles, and bill the client for it. It's still not as secure as a pdf file on my server

Xero used to have an alternative login method to its app, via email verification using a desktop computer or similar. Has that been phased out?

Not sure that is what Xero is intended to do but if it is sad that we are all now replaced by software.

I forgot to load the authenticator app onto my new phone and can't find a way to link it to Xero now - it asks me ID questions, favourite childhood toy, best friend at school etc so I use that to log in currently

That sounds like something similar to the route I take... under trouble logging in? or some similarly worded option, in very small print on the Xero login page. Last time I used it - only a few months back - it emailed to me a one-time code that I used for 30 days on my desktop computer.

Yeah, the farmers don't actually want to know how to use it, the Promar book keepers use it. I can't see that it's an improvement for us over the previous Accountant's Pack that gave us all the info we needed as a pdf.
Promar must be struggling themselves, as we chased up a missing client and were told it's not ready to hand over to us yet!!!
