Is it okay to reclaim the VAT through your vat return for misc expenses (travel, etc) incurred both in the EU and out of the EU.

If so is this claimed back at the levels charged on the invoice?

Oh no!
It's not UK VAT so no way can you put it on your UK VAT return.

If it's not very much, I'd just forget about it. If you want to make a claim, it can be notoriously difficult depending on the country. From my own experience, Germany is very helpful and will let you submit on a VAT65 even though strictly they can insist you use their forms. However I recently chased a claim and they told me it could take up to a year to send the refund!

I've been unable to contact the French authorities directly, and all I can do is use an agent who will take a slice. I get the impression that processing is quicker but can't be bothered to claim because the time and cost seems likely to outweigh the small amount of TVA we've suffered.

If you want I can give you some info I have on Germany and France.

VAT Notice 723
VAT notice 723 gives full details of what kind of expenditure that VAT reclaims can be made along with details of the claim mechanism and minimum claim levels.

However each country does have a list of excluded items for which you cant claim. I'm afraid having looked into this a number of times over the years it is travel & other normal 'out of office' expense items that are excluded. I would suspect that most other EC reclaims would be for this type of transaction, thus by excluding it must cut out a substancial amount of claims for each country to deal with.

I have found from my own experiance if its normal expenses... dont even waste time thinking about it!
