Shopping for software is a lot easier than shopping for physical goods. Instead of trekking to a store and searching through racks of products, you can search for exactly what you need with a few clicks. “But I can also buy physical goods on the internet,” I hear you say. This is true, but at least you don’t have to wait for delivery, and you can be set up and ready to go in minutes. You also don’t have to worry about the software not being the right fit. This is because most software providers offer a free trial of their software, allowing you to try before you buy.

While this is all very convenient, there is a timing issue that you should consider, especially when purchasing a new payroll software. ‘The great payroll software bottleneck’ refers to that time of the year, when every accountant, bookkeeper, and business are looking to switch payroll software provider. There is a sudden inundation of calls and queries to payroll software providers, leading to longer wait times, less time available to spend with you, and more panic as a result.

To avoid this, it’s worth downloading and trialling the software early. Then, when it comes to April and your first pay run of the new tax year, you’re ready to go!

The benefits of shopping early for payroll software

It’s hardly a surprise to hear that being organised and shopping early helps you make the best consumer decisions. You have the time to research your options, read reviews, test the software, and decide which is best for your business.

  • Time to trial:

Trialling new software before you buy helps to reduce costly purchase mistakes. This is particularly true if the software provider requires you to commit to a two or three-year contract. By downloading the software early, you can take the time to focus on testing it without being under pressure to make a decision before the new tax-year deadline.

  • Time to get set-up:

One thing we often hear from accountants is “Oh, I’ve downloaded it, but I never got around to setting it up properly”. As a result, they end up reluctantly using their old payroll software for another year, which can have a knock-on effect on their bottom-line as well as on what payroll services they can offer. If you download the payroll software early enough and take the time to get set-up, you can run your payroll on your new and old payroll software simultaneously. That way, if you make a mistake on the new software, it won’t affect your payroll run. BrightPay, for example, has a 60 day free trial of its desktop-based payroll software, giving you plenty of time to get set-up.

  • Time to get feed-back

Implementing new software or any new processes into a business can be tough, especially if employees are reluctant to change how they do things. If you work with a number of payroll processors, it’s important to give them the time to get used to it. By giving them enough time to truly test out how the software works, you’ll likely receive useful feedback and insights you otherwise would not have gotten.

  • More time with support:

This is a really important point. You’ll want to implement the new payroll software as efficiently as possible. This may require help from the payroll provider’s support or migration team. Unfortunately, the last two weeks of the tax year will the busiest time for them, and it’s unlikely you’ll receive the same amount of focus as you would at a quieter time. Beat the queues by getting set-up now. If you’re looking to switch to BrightPay, we offer free dedicated migration specialists to help you through the importing and set-up process. You can book a free migration consultation here.

Book a demo:

While moving payroll software can be time-consuming, it is worth it. The payroll software you use can impact your bottom line, the type of payroll services you offer, as well as extra HR services you can include. To get started, schedule a 15-minute demo of BrightPay with a member of our team today. Or to find out more, view our free guide about switching payroll software.

New for the new tax year is BrightPay’s fully-online payroll software*. You can migrate your payroll data from BrightPay’s desktop application to our new online version, quickly and easily. The user interface is almost identical to the desktop-based software, meaning there’s no need to be trained in the new software.
