Employee self-service requests now available in BrightPay

A little while back, we launched the new and improved cloud version of our award-winning payroll software, BrightPay. Previously, the software was only available as a desktop application and BrightPay’s cloud extension, BrightPay Connect, our other award-winning product, gave users access to an online Employee Self-Service Portal that synced seamlessly with the payroll software. Well, two have now become one and we are proud to announce that the employee self-service request feature is now available to users of our fully cloud-based software. 

BrightPay’s Manager Portal

BrightPay’s cloud-based software includes a manager’s portal for handling requests made by employees through the Employee Self-Service Portal. You can add a manager to whom you can delegate any annual leave requests and information update requests for certain employees. This can be done quickly and easily in the HR tab under the Employees section of the payroll software. Employees can be assigned to any other employee such as a manager or team leader. You can even have someone external handle the requests as long as they have a Bright ID which they can easily register for. 

You can also assign multiple managers to the same employee and all managers will receive a notification relating to requests from that employee. If you have one person who looks after all employees or simply wants to be notified of all staff requests, you can also assign a global manager. You can have multiple global managers too. 

Where you are both a manager and an employee you will work from the same URL and be given the option to proceed to your manager portal or your own employee portal.

The two main requests managers will deal with are requests for leave and requests to change personal details that the employer has on file for the employee. The manager dashboard is visually appealing and very user-friendly with four main headings: Dashboard, All Staff, Calendar and Requests. 

  • The dashboard gives you an overview of your role, who you manage and which staff members whose details you are able to view. Next to this, you have a “what’s happening” feature which displays the current and upcoming leave requests with a link to the staff leave calendar. And then just below you’ll see any outstanding tasks that are awaiting your response.
  • Under “All Staff” you can view your employees’ details such as their address, emergency contact etc, leave requests and professional information such as job title etc.
  • In the “Calendar” tab you can view all staff leave requests delegated to you and filter them based on different subsets such as sick leave or annual leave. 
  • “Requests” gives you a review of all your requests that are awaiting approval or rejection.

A key difference to this from BrightPay Connect is that employees and managers can create comments attached to requests which triggers an email to each respective party so a dialogue can be created and additional information can be given. For example:

Employee: “I will work overtime to make up the hours, if that’s ok?”
Manager: “Yes, that is fine”.

In fact, all changes or requests made by employees will be sent in email format to managers with a summary and a link to the portal so they can be swiftly actioned.

From the employee portal, employees have the option to request leave, specify the type and leave a comment. Employees can view their leave calendar along with a history of their leave requests. They can see a history of their information update requests too.

In the “My Tab” section, employees can change any details they want such as their address, emergency contact, and even date of birth. Whatever is awaiting approval by their manager will be highlighted in yellow so they know what needs actioning. 

Employees will be able to request above their leave entitlement also, and this will be reflected as a minus value, however, the approval of any requests will be at the discretion of the manager.
